From the end of October 2023, the Daily Authorisation and Period Authorisation pages will no longer
be available as they are being superseded by the new and improved Timesheet page,
making authorising and reviewing timesheets even easier. More info - see End of Life Notice.
If an employee changes their Location, Department, Role, Area, Event, or Function during a shift, you can split their timesheet to reflect the time worked in each combination. This is especially important if they get paid differently for different combinations. For example, an employee may work a few hours in their normal role, but after a team leader goes home sick is asked to take on these extra duties for the rest of the shift. The team leader role receives a higher rate, so the employee should be paid accordingly.
Note: If the employee had transferred their shift using a kiosk, this would have
automatically split the shift. This article covers how a manager can do this
during the authorisation process, if needed.
To split a timesheet in Daily Authorisation, first click on the timesheet and then go to the Actions button > Split Timesheets.
In the Timesheet Splitting screen, choose how many splits you need from the drop-down menu.
The number you select will create the same number of rows. You can select each row one at a time and set the location, department, role, area, event, and function the employee worked as well as the Shift Duration for how long they worked in that combination.
Comments can be entered, if needed.
For the last row, you cannot enter a shift duration as this will automatically calculate to be the remaining time left in the shift.
Confirm the split information at the bottom of the screen, then click Save.
You will receive a warning that splitting a timesheet cannot be undone. Say Yes to continue.
Now the employee will have two timesheets to authorise. Any additional changes can be made before you authorise.
Access Levels
If you do not see Split Timesheets in the Actions menu, make sure the permission for Allow Timesheet Splitting is turned on for the access level.
