This section answers frequently asked questions about the Contracts feature in Humanforce HR, including signing rules, access controls, notifications, and editing.
Signing and signers
How many signers can I assign to a contract?
You can assign up to 4 signers per contract.
Do signers need to be logged into Humanforce HR to sign a contract?
No. Signers do not need a Humanforce login. They receive a secure, time-limited access link by email that allows them to sign the contract without logging in.
Can I edit a contract after it has been issued?
No. Contracts are legally binding and cannot be edited once issued, even if not all parties have signed.
To make changes:
A signer or System Administrator must reject the contract
You must issue a new version for signature
How can I resend a contract email to a signer?
You can manually resend a contract email by:
Going to Engagement > Email Log
Searching by the signer’s email address or the contract name
Opening the action menu (⋯) and selecting Resend

How do I know if all signers have completed the contract?
In Organisation > Contracts, the contract status turns green when all parties have signed.
Click the contract name to see the status of each signer individually.
Where can I view a signed contract?
Signed contracts are stored in the Contracts tab on the subject employee’s profile.
Signed contracts are stored in Organisation > Contracts> Completed.
All signers can also see the signed contract on their own profile or on the profile of the person the contract was about (if they were involved).
You can add a Viewer when issuing the contract to share the signed copy with others who don’t need to sign.
Why can I only see the Contracts tab on my own profile?
By default, the Contracts tab is only visible on your own profile. You will also see any contracts where you were a signer or viewer.
To see contracts for others, you must have one of the following permissions:
people.contracts.view#subordinates
people.contracts.view#all
contracts.manage
Can I download a signed contract?
Yes. Signed contracts can be downloaded from the Contracts tab in the subject employee’s profile or the Contracts Overview page.
Notifications
What notifications are sent when using the Contracts feature?
Humanforce sends three key types of notifications:
Signature request: Sent to all signers.
Contract completed: Sent to all signers and viewers when fully signed.
Contract rejected:
If signing is allowed in any order, all recipients are notified.
If signing is sequential, only previous signers are notified when a rejection occurs.
