Scout Talent is a comprehensive talent acquisition platform empowering your organisation’s strategic growth. Scout harnesses the power of technology with expertise to deliver service-enabled software specifically designed to achieve your talent acquisition goals.
The Scout Talent recruitment CRM, :Recruit, adds value to a range of talent acquisition activities, including your employer branding, candidate care, application management, interview management, reporting, and collaboration. Scout Talent have built a native integration between the :Recruit module and intelliHR that is available for any users of both :Recruit and intelliHR. This article will explain what functions the integration performs and how to get it deployed on your :Recruit platform.
This article covers:
- What will the integration do?
- How do I set up the integration?
- How do I use the integration?
- Video Demonstration
What will the integration do?
✅ The integration provides a single source of truth for customers and organisations seeking to seamlessly hire and onboard new staff.
✅ Eliminate double handling of information for both HR and new hires, and create a smooth and enjoyable onboarding experience. The integration will push through candidate information from :Recruit to intelliHR; automatically creating a new person in intelliHR.
✅ The intelliHR and Scout Talent integration brings your talent acquisition processes into alignment, ultimately saving you time and helping you to get the best results.
Common Considerations
- The integration does not currently support the creation of a new job record for the new person being added to intelliHR.
- The integration does not currently support the pushing across of candidate documents into the intelliHR person's documents tab.
- The integration does not currently support the automation of triggering onboarding workflows in intelliHR once the person has been created in intelliHR.
What does Scout need to set things up?
Step 1
-
In order to link your :Recruit and intelliHR accounts, you'll need to provide Scout an API key from intelliHR and your intelliHR domain name (which will be something like https://your-company.intellihr.net) Please note; the API key should only be provided to Scout in a secure manner.
-
You can locate, or create a new API key from your intelliHR account by navigating to the Settings menu and locating the Public API Access Keys area, or at this link template (ensuring you use your domain name in place of your-company): https://your-company.intellihr.net/spa/settings/access-key
-
⚠️ Note: You'll need to have System Administrator permissions in intelliHR to access this area of the platform. If you're struggling to obtain this information, check out our Public API Access Keys article for more information.
Step 2
-
You'll need to inform Scout which users of the :Recruit platform that you would like to be able to use or deploy the integration. (E.g. Admins and/or Hiring Managers).
-
Once all information from Step 1 and 2 is ready, forward all details through to Scout's Client Success Team (support@scouttalent.com.au)
Step 3
-
The Scout Client Success Team will add these details into the parent entity in the correct integrations section and update the entity. They will also update role permissions according to the client's request.
Pushing a candidate application to intelliHR
Once the intelliHR integration is set up with the appropriate details, a new button will appear in the Activities section of an application. To export a candidate from :Recruit to intelliHR, the user will need to do the following:
Step 1
-
Navigate to the application of the candidate that they would like to export to intelliHR.
-
Scroll down to the Activities section of the application and click Export to intelliHR.
Step 2
-
A pop-up will appear to be completed at this point of the process. All information should pre-populate in the pop-up window except for the Preferred Name, Date of Birth and Emergency Contact Information. These are fields in intelliHR so ensure that they are completed now so that the information pushes through to intelliHR successfully in these fields.
-
Any last minute changes can also be made to the other fields on the pop-up window before sending across.
-
Click Submit when finished and the candidate will automatically be sent to intelliHR.
-
You will then see a green success banner at the top of the candidate application if successful and a note will appear in the Activities section of the application.
⚠️ Note:
-
If a user tries to export a candidate to intelliHR that has already been exported they will receive the message below:
-
If you receive the error message similar to the one below, it means you haven't added in the required fields for the export to intelliHR to be successful. Scroll back down to the Activities tab and click on "Export to intelliHR" again. Ensure the required fields are populated and submit the form again.
-
If you receive an error message different to the above, the best process is to take a screenshot of the error message, note the entity and application this is coming from and then forward a support request to support@scouttalent.com.au
