This article describes how to configure SMTP Server using HF Web
(available via Admin > Admin Config > SMTP Server).
This is for backoffice configuration.
What are SMTP Servers?
SMTP Servers are used to send email alert updates when set up under alerts config within Humanforce product. The configuration allows you to setup multiple SMTP Servers and use it on a per location basis (If required).
Enabling Access
To activate these permissions:
- In HF Web, go to Admin > Security Config > Access Levels
- For the relevant Access Level row, click Edit
- Click on the Permissions tab
- Search for SMTP Servers
- Find the permissions under Maintenance Screens
- To access the SMTP server page, tick SMTP Servers
- After making your selection, click Apply Changes
Viewing, Adding and Editing SMTP Server
To view the SMTP Server page, Go to Admin > Admin Config > SMTP Server
The main SMTP Server List page displays all configured SMTP Servers.
The page also offers the following functionality:
- Sorting (Available for Name and Address columns)
- Add
- Edit
- Delete
Adding/Editing an SMTP Server
To add a new SMTP Server, click the Add New SMTP Server button in the top right of the screen.
To edit an existing SMTP Server, click the edit (pencil) icon found in the Manage column against the record you wish to edit.
In the Add or Edit window that appears, you can edit:
- Name - The name of the SMTP Server, this is only relevant in Humanforce and can essentially be anything
- Address - The email service provider's address
- Sender Address - This can be a individual/organisation email sender address
- Display Name - This is only relevant in Humanforce and can essentially be anything
- Username - Email service provider's username
- Password - Email service provider's password
- Authentication - Enable(recommended) for secured connection.
- Use TLS - Enable(recommended) for secured connection
- Port Number - Is optional, By default the value selected will be 25. Note that if the source number is specified it must be a numeric value.
Delete an SMTP Server
- To delete records, click the delete (bin) icon. Once the record is deleted it cannot be retrieved
- To avoid any records getting deleted by mistake, an actionable dialog box will be displayed
- Clicking on Delete will remove the record
- Clicking on Cancel will close the dialogue box
