Starting in version 4.8.27, when reassigning a shift in the Employee Rostering screen, you will be given the option to create a leave timesheet for the employee you are replacing.
The following workflow will only apply if the user replacing the shift has the permissions to create a timesheet and the shift that is being reassigned is:
- Assigned
- Published
- Confirmed
If those conditions are met, then simply find the shift to replace and click the Reassign shift button.
You will then be asked if you want to create a timesheet.
If you select Yes, you will be presented with the timesheet screen for the employee. Update the Shift Type to indicate the type of leave and adjust the times, comments, etc., as needed.
Updating the Shift Type to a leave type will auto-authorise the timesheet when it's created.
From v6.0.27 (29th May 2024), users with the necessary permissions will be able to view and edit the Authorised checkbox when creating a timesheet in this scenario. This allows a leave timesheet to be initially created as unauthorised and later reviewed and authorised in the Timesheets screen, rather than at the time of creation.
From v6.0.29 (26th June 2024), a new permission - Rostering Screen>Allow editing>Auto-authorise when adding a leave timesheet as part of reassign workflow - will determine whether a timesheet has the Authorised checkbox ticked automatically when selecting a leave Shift Type, or whether it remains unticked, and so unauthorised.
Note that a leave request will not be created if a user opts to create the leave timesheet as unauthorised via this process.
After clicking Save, you can choose to not replace the shift, or you can proceed with the offer.
If you proceed with the offer, you can either fill the shift directly or offer it to multiple employees. Refer to How do I Assign or send Shift Offers in Humanforce? for instructions on how to do this.
