Humanforce HR has three built-in reporting views that help you stay on top of your workforce compliance obligations — Extended Leave, Contractors, and Work Rights. Think of them as your early warning system, surfacing what needs attention before it becomes a problem.

Extended Leave
Extended leave covers long-term absences such as parental leave, study leave, or long-term illness. Recording this in Humanforce HR keeps your data accurate and triggers the right workflows automatically.
Recording extended leave
1. Open the employee's profile and go to the Job tab.
2. Click Job Actions >> Go on Extended Leave.
3. Enter the Effective From and Effective To dates, the Leave Reason, and Modified FTE.
4. Click Save. You'll be asked whether to trigger the associated workflow, or skip it if not needed.
5. If the employee manages others, you'll be prompted to reassign their direct reports during the leave period.
Adding leave reasons
Need a leave reason that isn't in the list? Navigate to Settings >> All Settings >> Leave Types and create it.
Contractors
The Contractors view shows all fixed-term employees who have expired or are expiring within the next 14 days. Contractors expiring within one month display as 'Exiting Soon' on their profile.
Managing contractor end dates
1. Navigate to People >> Contractors.
2. Switch between the Overdue and Upcoming sections at the top of the page.
3. Search or sort by any visible field to find the person you need.
4. Click the three dots next to their name to take action.
- Adjust End Date: The contract has been extended — enter the new end date and save.
- Remove End Date: The employee is moving to a permanent role — removing the end date converts them.
- Finalise: The contract is ending — record the last day, turnover type, and reason. This triggers the offboarding workflow.
Adding turnover reasons
Need a turnover reason that isn't in the list? Navigate to Settings >> All Settings >> Turnover Reason and create it.
Work Rights
The Work Rights view surfaces employees whose visa or work entitlement has expired, or is expiring within the next 12 months — giving you plenty of time to take action.
Managing work right expiries
1. Navigate to People >> Work Rights.
2. Switch between the Expired and Upcoming sections.
3. Search or sort by any visible field to find the person you need.
4. Click the employee's name to open their profile, then click Update Personal Information to amend their work right details.
Adding work rights
Need a Work Right that isn't in the list? Navigate to Settings >> All Settings >> Work Rights and create it.
Exporting work rights data
You can export work rights data at any time for reporting and auditing purposes. Navigate to Settings >> Data Import/Export.
1. Click Export.
2. Select Export Type: People Data.
3. Choose your lookup method — Display Name is the most commonly used.
4. Click 'Select None' to clear all columns, then choose the fields you need: Work Right Type, Expiry Date, Country.
5. Click Export. Your data will download as a CSV.
