Follow this guide to request, edit, or cancel leave in Humanforce WFM (Web). Leave requests let you notify your manager of planned time off, which can then be approved or declined based on business needs.
Your ability to submit, edit, or cancel leave depends on your organisation’s configuration and access permissions. If you can’t see these options, contact your manager or system administrator.
Part 1: Request leave
Use this option to request time off, either for full or partial days.
- Go to Employee > Availability.
- The calendar displays your current month.
- Use the arrows < > to navigate between months.
- Click Show Rosters to overlay your rostered shifts (time, location, department, and role) on the calendar.
- Click and drag across the desired date(s) in the top calendar, or use the From / To date selector.
- Click
Edit to open the Availability and Leave window.
- Select your Leave Type from the dropdown (for example, Annual Leave or Sick Leave).
- If enabled, your available hours (balance) for that leave type appear below the dropdown.
- Nominate your leave hours using one of the available options:
- Selected Hours – use the hourly bar or entering Start and End Time to select custom times (in 30-minute increments).
- Default Hours – use your company’s default daily leave hours.
- (If configured) Profile Hours – use hours defined by your award or employee profile.
- (If configured) Roster Hours – use hours based on your assigned rostered shift.
- (If configured) Template Hours – use hours from your master roster template.
- (Optional) Add a comment for your manager.
- (Optional) Add
Attachments, such as supporting documents.
- Review your dates, hours, and leave type in the results summary box.
- Click Save, then confirm in the pop-up window by selecting OK.
Your leave request now appears on your calendar with a Requested status until your manager reviews it. Once approved or declined, you will receive a notification and the status will automatically update.
Part 2: Edit a leave request
You can edit a leave request while it’s still in Requested status.
Approved leave cannot be modified; instead, cancel the request or ask your manager to update it.
- Go to Employee > Availability.
- Click and drag across the existing leave dates, or use the From / To date selector.
- Click
Edit.
- A confirmation message appears:
You have selected one or more days containing existing entries.
Do you want to proceed?
- A confirmation message appears:
- Click Yes to open the Availability and Leave window.
- Review or update the details as needed:
- Change the leave type or hours.
- Add or update comments and/or attachments.
- Click Save, then confirm in the pop-up window by selecting OK.
If manager approval is required, your updated request will return to Requested status until reviewed.
Once approved or declined, the status will automatically update.
Part 3: Cancel an approved leave request
You can cancel a leave request if the option is enabled in your organisation.
If the Cancel Leave Request button isn’t visible, contact your manager to process the cancellation.
- Go to Employee > Availability.
- Select the approved leave date(s).
- Click Edit, then Yes when prompted.
- In the Availability and Leave window, click Cancel Leave Request.
- Review and confirm the details, then click OK.
Your cancellation request will be sent for approval (if required), and the status will update automatically once reviewed.
Part 4: Remove or reset requested leave
If you need to withdraw a leave entry (for example, to replace it with new availability):
- Go to Employee > Availability.
- Select the date(s) you wish to clear.
- Click Edit, then Yes when prompted to override existing entries.
- In the Availability and Leave window, click Reset, then Save.
- Confirm your selection when prompted.
The leave entry is removed from your calendar, and any balances are restored.

- Leave requests display on the calendar with colour-coded statuses:

- If approvals are enabled, changes return to Requested status after edits or cancellations.
- Balances and leave types displayed depend on your organisation’s payroll integration.
- Attachments (such as medical certificates) may be uploaded if enabled.
- Managers can view, approve, or decline leave requests and may update them on your behalf if required.
