For Humanforce Workforce Management Cloud customers, as soon as you've signed your humanforce contract we will start the billing cycle. Usually there are implementation costs that cover consulting and project management (either fixed price or time and materials) as well as monthly subscription costs.
How is my monthly subscription calculated?
Typically, your monthly subscription is based on Licensing x Total active users
- Licensing - this is the rate that’s agreed when you first start using Humanforce.
- Total unique active users - an active user is calculated as any staff member with recorded timesheet and has generated timesheet.
What qualifies as an active user?
An active user is defined as a unique employee who has recorded a timesheet within the past week. The licensing structure is not based on the frequency of payroll or the total number of employees processed through payroll.
The following considerations apply to timesheet licensing:
- Any type of timesheet is included, whether it is generated from clocking, leave timesheets, conversion of roster to timesheet, or manually added timesheets.
- Each employee is counted only once, regardless of the number of timesheets they have. For example, whether an employee has submitted 1 timesheet or 100 timesheets, they are counted as a single employee towards the license.
- Timesheets can be generated from either TimeTarget or Humanforce.
What happens if a user is inactive during a given month?
Within the Humanforce system, inactive users refer to those who have not submitted any timesheets and are thus excluded from the monthly subscription calculation. Only users who have recorded timesheets, including clocking, leave timesheets, conversion of roster to timesheet, or manually added timesheets, are considered for the subscription count. To illustrate, if your account encompasses a total of 1,200 staff members, but only 900 of them have been active during the month, the subscription count will solely account for those 900 active staff members.
Furthermore, users who have been marked as terminated will have their access to Humanforce revoked. Consequently, terminated users do not contribute to the license count. It is important to note that while users can be tagged as terminated, complete removal from the system is not possible. Again, if an employee is marked as "terminated," they no longer utilize any licenses.
How much does it cost if I use SMS?
SMS costs start at 15c per standard 160 character message sent. The longer and more detailed your messages are, the more SMS your messages you might consume.
