If an employee’s performance is not improving, you may need to Escalate the process. Alternatively, if their performance returns to meeting expectations, you can Resolve the process. This will close the issue off, though it will remain recorded on the employee’s profile and in your Compliance section.
Escalating or Resolving a Performance Improvement Plan involves changing the status of an existing Performance Improvement Process. As such, the steps are similar.
To Escalate a Performance Improvement Plan
1. Navigate to Employee Profile >> Manager's Log.
2. Select the Performance Improvement tab.
3. Click on the Summary of the desired Performance Improvement Plan.
4. Click on the Escalate option located within the Actions dropdown menu.
5. Complete the required fields:
- Enter the details of the person whom the PIP has been Reported By.
- Enter the Date.
- Select the new Performance Improvement Status.
- Write a description (optional)
- Enter the Hours spent on the event since last reporting.
- Enter any Direct Financial Costs incurred by the event.
- Detail the Remedial Action to be Taken by Employee
- Detail the Action to be Taken by the Business
- Schedule a Follow Up (if required).
- Select the Date and Person you wish to receive the follow up email notification.
- Enter any notes to detail the Follow Up Required by the Business.
6. Select Escalate to save change to Performance Improvement.
7. This will trigger a Workflow to be created which includes an Improvement Action Plan to be sent to the Employee. To send to the employee select Apply or alternatively press Skip.
8. A letter template will be generated, using the information entered.
- Make any necessary changes and click Save. A PDF of this letter will be saved on the record of Performance Improvement Plan. Note: the system will NOT automatically send a copy to the employee. Return to the Performance Improvement Plan to access the PDF and follow your usual process to present it to the employee.
To Resolve a Performance Improvement Plan
1. Navigate to Employee Profile >> Manager's Log.
2. Select the Performance Improvement tab.
3. Click on the Summary of the desired Performance Improvement Plan.
4. Select the Resolve button.
5. Complete the required fields:
- Enter the details of the person who the resolution was Reported By.
- Enter the Date.
- Enter a Description (optional)
- Track any costs incurred in resolving the issue with Hours and Direct Financial Costs.
- Enter any Action Taken by Business and Remedial Action to be Taken by Staff Member.
- Schedule a Follow Up (if required).
6. Select Resolve to save change to Performance Improvement Plan.
- A letter template will be generated, using the information entered. Make any necessary changes and click Save. A PDF of this letter will be saved on the record of Performance Improvement Plan. Note: the system will NOT automatically send a copy to the employee. Return to the Performance Improvement Plan to access the PDF and follow your usual process to present it to the employee.
