Contract templates allow you to standardise employment contracts and letters for e-signing. By using variables, templates automatically populate key information from an employee’s profile, saving time and ensuring consistency.
You must have the contract_templates.manage permission to create or edit contract templates.
Part 1: Create a contract template
Go to Organisation > Contract Templates.
Click Create Template.
Enter a Template name.

Set the Signing order method:
One signature at a time: Signers must sign in the order listed.
- Allow signing in any order: Any signer can sign at any time.

Click Add signer to select who is required to sign the contract.
The list of potential signers is dynamic. For example, selecting Supervisor will assign the supervisor of the contract subject.
You can also choose Resolve at issuing contract to select the signer when issuing the contract.

Optional: Add Messages for Notifications
Tick Add message for signing request notification and/or Add message for contract completion notification to include context for each signer.

Each message can contain up to 500 characters.

Optional: Click Add Viewer to automate sending a completed copy of the contract.

Add Template Content:
In the Template Content field, enter the contract body.
Use
{}to insert variables from the employee’s profile.

You may also paste content from another text editor (e.g. MS Word or Google Docs).

Save or Publish the Template:
Publish contract template - makes the template available for use immediately.
Save draft - saves your progress to edit later.
You’ll see your new template listed when Issuing a contract once it has been published.
Part 2: Edit a contract template
Go to Organisation > Contract Templates.
Find the template you want to update and open the action menu (⋯).
Select Edit.
Update the template name, signers, or template content.
Click Save template to apply your changes.
Changes only apply to newly issued contracts. Pending contracts are not updated.
Additional information
The HTML content area supports formatted text, tables and variables.
Changes to a template do not affect contracts that have already been issued.
