Form Data Analysis provides analytics on any form created and used on intelliHR. This analytics page really is the catch-all to view responses for anything that has been sent to the team. To ensure the validity of the data you are analyzing the system will, by default, only show the data for the most recent version of the form; however, within page settings, it is possible to include more than one version of the form in the analytics data. This allows you to make small edits, such as fixing a typo or amending the labels on a question without hiding the data you have previously collected using this form. This article is designed to explain where you can view form design versions on the platform and how these can be used in form data analysis.
This article covers:
- What are Form Design Versions?
- How do I include more than one design version in Form Data Analysis?
- Examples of Fuzzy Data Combination Method Use
What are Form Design Versions?
Each time a form design is edited on intelliHR a new version of the form is created. The form design version is important to form data analytics because if an existing survey was edited significantly after responses had already been collected the validity of the results displayed would be greatly diminished.
To review form design versions go to:
Automation >> Form Designs >> Edit Form Fields >> Form Design History
How do I include more than one design version in Form Data Analysis?
1. Navigate to Analytics >> Form Data Analysis
2. Select the form you wish to review the data for
3. Select Page Settings (cog icon in the top-right of the page)
The Form Settings tab will provide information regarding the current version of the form, a list of the form questions you are currently visualizing and an Included Versions section.
4. To include previous form design versions in the visualization of data go to the Included Version section and select Edit.
5. Select the Data Combination Method
- Strict - matches form versions that contain exactly the same set of form questions as the target form version
- Fuzzy - matches form versions that contain the same set of form questions as the target version but could include questions with minor label changes
6. Save Changes
Examples of Fuzzy Data Combination Method Use
As seen above, more than one form design version can be included in the same Form Data Analysis when the Data Combination Method is set to fuzzy.
There are two clear examples of when you may want to enable the fuzzy versioning and include more than one design version in the analytics:
- A survey has been sent and employees have started responding to the task. It is reported to you as the administrator that there is a typo in the form, or that a question requires a small amendment. You can now edit the form design and with the fuzzy data combination method the form data analysis will combine the data from the most recent form and the form that was initially sent.
- You have pulsed a self-assessment form to all employees; however, upon completion of the first few forms, you realize that one of your rating response labels 'Outstanding' is spelled incorrectly. You can edit the label within the form and with the fuzzy data combination method enabled the form data analysis will combine and visualize the data from both the most recent version and the form that was initially sent.
