Overview
The Qualifications dashboard helps you track whether employees hold the certifications and credentials their roles require. Use this dashboard to identify compliance gaps, monitor upcoming expiry dates, and ensure your workforce meets regulatory and operational requirements.
This dashboard is designed for HR practitioners, compliance managers, and department heads who need to maintain oversight of mandatory qualifications across their organisation. It's particularly valuable for regulated industries where expired credentials can create operational or legal risks.
Key Metrics
The dashboard tracks compliance at two levels: individual job requirements and overall job compliance.
Job Compliance Rate – The percentage of jobs where all job requirements are satisfied by current qualifications. A job is considered compliant when every requirement has a matching qualification with "Current" status. Jobs without any requirements are treated as compliant.
Job Requirement Compliance Rate – The percentage of individual job requirements that have a corresponding valid qualification. This metric shows the overall health of your compliance program across all requirements.
Percentage of Jobs with a Job Requirement – The proportion of jobs that have at least one job requirement defined. This helps you understand how many roles in your organisation have compliance tracking in place.
Understanding Qualification Status
The dashboard categorises qualifications into different statuses based on their approval state and validity dates:
- Current – Approved qualification where today's date falls between the issue date and expiry date
- Current: Expiring within 30 days – Valid qualification approaching expiry within the next 30 days
- Future – Approved qualification with an issue date after today
- Expired – Approved qualification where today's date is past the expiry date
- Awaiting Approval – Qualification submitted but not yet approved
- Draft – Qualification saved but not submitted for approval
- Declined – Qualification that was rejected during approval
- No Qualification Provided – Job has a requirement but the employee hasn't provided a matching qualification
Only qualifications with Current status satisfy job requirements and contribute to compliance.
Visualisations
The dashboard is organised into sections that answer different compliance questions:

| Number of Job Requirements by Compliance Status | Shows how many individual requirements are compliant, non-compliant, or held as qualifications only (not required for the role). |
| Expiring Job Requirements | Groups job requirements by how soon they expire (0-30 days, 31-60 days, 61-90 days, 91+ days). Use this to prioritise renewal actions. |
| Job Compliance Rate by Number of Job Requirements | Shows whether roles with more requirements have lower compliance rates. Helps identify where complexity creates compliance challenges. |
| Job Requirement Heatmap | Displays which job requirements are most commonly held at each qualification status. Identifies patterns across your organisation. |
| Qualifications Data | Detailed table showing individual qualification records including employee details, qualification type, issue and expiry dates, issuing organisation, and compliance status. |
Filters and Navigation
Use the filters at the top of the dashboard to focus on specific areas of your organisation:
- Business Entity – Filter by legal entity or company
- Business Unit – View compliance for specific departments or divisions
- Location – Focus on particular sites or geographic regions
- Date – View compliance status as of a specific date (defaults to today)
Click on any visualisation to drill into the underlying data. For example, clicking a bar in the "Jobs by Job Compliance Status" chart filters the entire dashboard to show only those jobs.
The Qualifications Data table at the bottom provides detailed records you can export for compliance reporting or auditing purposes.
Understanding Job Requirements vs Job Requirement Groups
The dashboard tracks two types of requirements:
Job Requirement – A single qualification needed for a role (e.g., First Aid Certificate).
Job Requirement Group – A collection of related qualifications where all must be held to satisfy the requirement (e.g., "Food Safety Certifications" requiring both Food Handler Licence AND Allergen Training).
Both types are tracked and contribute to your overall compliance metrics.
Tips for Using This Dashboard
Monitor expiring qualifications proactively – Use the "Expiring Job Requirements" visualisation to identify credentials expiring in the next 30-60 days. This gives you time to arrange renewals before compliance lapses.
Focus on non-compliant jobs first – The "Jobs by Job Compliance Status" chart shows your highest-risk area. Drill into non-compliant jobs to identify which specific requirements need attention.
Track compliance trends – The "Job Compliance Rate" KPI shows whether your compliance position is improving or declining month-over-month. Use this to measure the effectiveness of your renewal programs.
Export detailed data for reporting – The "Qualifications Data" table can be exported to Excel for regulatory reporting, audit preparation, or sharing with department managers.
