Humanforce will continue to refine and expand availability, with general availability coming soon.The Humanforce Talent–HR integration connects your recruitment and HR platforms so that hiring activity in Talent automatically flows into Humanforce HR with no manual re-entry required. When a candidate accepts a job offer in Talent, their person profile, job record, recruitment documents, and onboarding setup are created or triggered in HR automatically.
This integration is designed for organisations using both Humanforce Talent and Humanforce HR as part of the Humanforce HCM suite. It reduces administrative effort for HR managers and talent acquisition teams, minimises the risk of data entry errors, and improves the experience for candidates moving from recruitment into onboarding.
Capabilities
Configure and access the integration
The integration is set up and managed through Integration Central, accessible directly within Humanforce HR. Once your Talent and HR tenants are linked, a Humanforce Talent tile appears in Settings > Integrations, giving you single sign-on access to configure and monitor the integration without switching platforms.
Create employee records from job offers
When a candidate's job offer is accepted in Humanforce Talent (either by the candidate or by a recruiter manually moving the offer to an accepted stage), their person and job records are automatically created in Humanforce HR using the data captured on the job offer form. Humanforce HR is the system of record for key fields (including Business Units, Locations, and Position Titles), and these values are made available for selection in Talent at the time of offer. Once records are created in Humanforce HR, updates to employees' records are managed in HR. Data changes, such as Remuneration or Hours per Cycle, are not synced back to Talent.
For returning employees or candidates who already have an HR profile, their Humanforce HR ID can be entered in Talent to link the new job to their existing record rather than creating a duplicate. Bulk job offers are supported, and Humanforce HR creates or links records for each candidate individually.
Transfer recruitment documents to HR
Recruitment documents collected in Humanforce Talent (CVs, offer letters, and offer letter attachments) automatically transfer to the employee's General Documents folder in Humanforce HR once the person and job records are created or linked. Document visibility in HR is controlled by your existing HR Permission Groups.
Automate contracts and onboarding workflows
Reduce onboarding effort by selecting a Contract Template and an Onboarding Workflow directly in Humanforce Talent when creating a job offer. On offer acceptance, Humanforce HR automatically issues the contract if all variables can be resolved, or creates a draft for your HR team to finalise. Contract status updates (draft created, issued, signed, and declined) are sent from Humanforce HR back to Humanforce Talent, keeping both platforms aligned throughout the hiring process.
The selected Onboarding Workflow is then scheduled automatically once the main contract is fully signed, using the Start Date as the effective date. If a candidate's start date has already passed at the time of signing, the workflow schedules immediately, and HR's standard workflow scheduler determines send dates for individual forms.
Support internal candidates
When an existing employee applies for and accepts a new role via Talent, HR creates a pending job update, which is held until the contract is fully signed. During this time, no updates are pushed downstream to Workforce Management or Payroll, so your connected systems remain accurate. Once all signatures are complete, the job update is applied automatically and normal downstream events resume.
Monitor integration activity
Track all integration events using structured logs in Integration Central. Both successful events and errors are recorded. Error messages include resolution guidance so HR administrators can troubleshoot and resolve issues quickly without escalation. Administrators can also configure email notifications to alert relevant team members when integration errors occur.
Additional information
The Humanforce Talent tile in Settings > Integrations > Humanforce Suite > Humanforce Talent is only visible when HR and Talent tenants are linked via the Customer Management Console by our Support team.
Each Humanforce Talent tenant can only connect to one Humanforce HR tenant. Connecting multiple HR tenants to a single Talent tenant risks duplicate record creation. Contact your Account Manager if you need to discuss your tenant setup.
Humanforce HR is the system of record for auxiliary data such as Business Units, Locations, Position Titles, Contract Templates, and Onboarding Workflows. These values are synced to Talent and cached for use in job offer forms. If they change in Humanforce HR after a job offer has been created in Talent, the offer may reference outdated values, which can cause errors on acceptance.
If required data is missing or invalid at the point of offer acceptance, the person and job records will not be created, and the error is logged in Integration Central. If the HR ID entered for a returning employee does not match a valid HR record, the integration will not proceed.
A candidate can only have one active job offer in progress at a time through the integration. If a second offer is submitted while one is already in progress, it will not be processed.
Only one Contract Template and one Onboarding Workflow can be selected per job offer.
If a candidate rejects an offer or does not proceed after their person and job records have been created in Humanforce HR, manual cleanup is required in HR (for example, end-dating the job or deleting the person record).
If the integration is disabled, any job offers already in progress will continue to process. New offers will revert to the standard Humanforce Talent workflow.
Recruitment documents transfer once per candidate per job and are not re-synced if updated later in Talent.
If a person is deleted in Humanforce HR or a candidate disconnects from Talent, the integration link is removed automatically.
Internal candidate job updates cannot be edited in Humanforce HR while pending. Instead, reject the offer and create a new Job Offer in Talent.
Users with limited access may not be able to view integration settings or employee records. Contact your administrator.Specifications
