Follow this guide to issue the same contract template to multiple employees at once, reducing manual effort during mass hiring events, remuneration reviews, or organisational changes.
Permissions note: Users with limited permissions may not be able to issue multiple contracts. Contact your administrator if the Issue Multiple Contracts button is not visible on the Contracts page.
Part 1: Enable access to bulk contract issuing
Users who are not System Administrators require the bulk contract issuing permission to be added to their Permission Group before they can issue contracts in bulk. Users also require the existing Manage contracts permission.
Navigate to Settings > Permissions.
Select the Permission Group you want to update, then click Edit.
In the Contracts section, enable contracts.manage.batch - Issue Multiple Contracts.
Click Save.
Users in this Permission Group who also have the Manage contracts permission will now see the Issue Multiple Contracts button on the Contracts page.
Part 2: Issue multiple contracts
Navigate to Organisation > Contracts.
Click Issue Multiple Contracts.

Select a contract template from the list.
Compatible templates can be selected immediately.
Incompatible templates display a message explaining why they cannot be used for bulk issuing. A template is incompatible when it contains custom contract variables or when it has signers set to resolve at signing.
Click Continue.
Click Add People and search for the employees you want to include. The search returns employees with active, upcoming and exiting job statuses by default. Toggle Include past people to also include employees whose end date has passed.
Review the list of recipients. Click the remove icon next to any name to exclude them from the batch.
Review the confirmation summary, which shows the template name and the total number of recipients.
Click Send Contracts to confirm and issue.
Humanforce HR generates and sends each contract individually. You can track outcomes on the Contracts page. Contracts that are sent successfully show a status of Pending. If a contract cannot be sent for a specific employee (for example, because a variable cannot be resolved from their record), a draft contract is created for you to complete manually.

Template compatibility - A template is compatible with bulk issuing when all variables can be resolved automatically from the employee's record and all signers and viewers are assigned by role (not set to resolve at signing). If a template cannot be used, users with contract_templates.manage - Manage contract templates permission will see an Edit Contract Template link that will take them to the Contract Template.
Draft contracts after a failed send - If a contract cannot be sent during bulk issuing, Humanforce HR creates a draft contract. Navigate to Organisation > Contracts and select the Draft tab to find and complete any draft contracts manually.
Sorting and filtering - In the current release, the recipient list cannot be sorted by name. The ability to filter by attributes such as Business Unit, Location, and Work Type is planned for a future update.
