Follow this guide to create, update, or remove your availability in Humanforce WFM (Web). Availability lets you indicate when you can, can’t, or would prefer to work, helping managers roster you appropriately.
Depending on your organisation’s configuration, you may be marked as available or unavailable by default. Check with your manager if you’re unsure which applies to you.
Part 1: Update single-day availability
Use this option to set your availability for one or more specific dates.
- Go to Employee > Availability.
- The calendar displays your availability for the current month.
- Use the arrows < > to navigate through the months.
- Click and drag across the desired date(s) in the top calendar, or use the date selector to choose a specific range.

Edit to open the Availability and Leave window.
- Set your availability:
- Define the time range by using the hourly bar or entering Start and End Time.
- Choose whether this applies to part of the day (Splits) or the full day (Full Day).
- Select your preferred type - Available, Preferred, or Unavailable.
- (Optional) Add a comment for your manager, if required.
- Click Save.
If manager approval is required, your update will show as Pending until reviewed. Once approved, your availability will display on the calendar with an icon representing the type.
Part 2: Set repeat availability
Repeat availability allows you to create a repeating pattern on a daily, weekly, or monthly basis, with an end date - ideal for temporary routines or seasonal schedules.
- Go to Employee > Availability.
- Select a single day in the top calendar view.
- Click
Edit to open the Availability and Leave window.
- Set your availability:
- Choose Available, Preferred, or Unavailable.
- Define a time range or apply it to the full day.
- In the Repeat Every section:
- Tick Repeat Every.
- Select how often the pattern repeats (for example, every 1 day or 1 week or 1 month).
- Set an Until date (required).
- Click Save.
Your repeat pattern appears across all relevant dates in the calendar.
Part 3: Set recurring (weekly) availability
Use this option to set your typical weekly pattern - for example, available every Monday and Wednesday.
- Go to Employee > Availability.
- The Recurring Availability section displays at the bottom of the page.
- Select the day(s) of the week you want to update and double click or click
Edit.
- Choose your preferred availability settings:
- Use Splits or Full Day to define hours or full-day availability.
- Select Available, Preferred, or Unavailable.
- (Optional) Add a comment.
- Click Save.
Your recurring pattern now displays under the Recurring Availability section and will automatically apply to future weeks. This setting continues indefinitely unless changed.
Part 4: Edit or cancel (reset) existing availability
You can update or remove any existing single, recurring, or repeat availability directly from the calendar.
- Go to Employee > Availability.
- To edit a single or repeat entry, select the relevant date(s) in the top calendar.
- To edit a recurring entry, select the day(s) in the Recurring Availability section.
- Click
Edit.
- If existing entries are included, a confirmation message appears:
“You have selected one or more days containing existing entries.
All selected days will be overwritten with your new selection. Do you want to proceed?”
- If existing entries are included, a confirmation message appears:
- Click Yes to continue.
- In the Availability and Leave window, choose one of the following:
- Edit: Adjust the availability type, time range, or comments, then click Save.
- Reset: Click Reset to remove the availability entry entirely.
- When editing or resetting a repeat availability, you can choose to:
- Edit this instance – only change that date.
- Edit this series – update all linked events.
- Reset this instance, this series, or all future – revert availability as needed.
- If approvals are active, your change will return to Pending status until reviewed by your manager.
Your calendar and recurring section will update automatically once the change is saved or approved.

Availability types
When updating your availability, you can select one of three options:Type Meaning Available
You are available to work during this time. Preferred
You would like to work during this time if possible. Unavailable
You cannot work during this time. - When both recurring and single-day availability exist, the single-day entry always takes priority.
- Repeat availability is available only in Humanforce Cloud (v4.7+) and requires the permission:
Availability Map > Allow availability changes to be made > Allow repeat availability. - Your manager can view your submitted availability when rostering.
