Follow this guide to view employee availability across your organisation using the staff availability map in Humanforce WFM (Web).
Steps
- Go to Management > Availability > Staff Availability.
The staff availability map appears for the selected month. - Set the Month and Year you want to review.
The grid updates to show data within this period. - (Optional) Choose the Location, Department, and Role you want to view.
These filters define which employees appear in the map.- To filter employees by their default LDR, turn on Default only.
- (Optional) Enter an employee name in the Employee field to limit the view to a single person.
- Select
Apply to refresh the map with your selected filters.
The grid updates to show each employee and their availability for the month. - Review the availability displayed on the map.
Icons and colours indicate each employee’s status for a given day (for example: available, unavailable, preferred, requested, approved, pre-approved).- To view rostered shifts directly on the map, turn on Show roster info.
- To view leave block-out or grey-out periods, turn on Show leave block info.
Your staff availability map is now updated, allowing you to review availability patterns across your selected group of employees.
Additional information
- You can change how many employees appear per page using the Show … per page menu.
- Select
Fill browser window to expand the map and view a larger date range.
- Employees with incomplete profiles are automatically excluded from the map.
- A full legend of all icons appears below the map (for example: black-out, gray-out, public holiday, pre-approved, approved, requested, declined/cancelled, available, unavailable, preferred, roster).
- If Staff Availability does not appear in the Management menu, check access settings:
- Admin > Administration Configuration > Nav Manager - ensure Staff Availability is enabled.
- Admin > Security Configuration > Access Levels > Permissions - enable View Staff Availability.
