Follow this guide to create and assign shifts in Event Manager, using either basic shift requirements or labour group configurations. While shift creation is supported here, we recommend managing shifts in Roster Manager for the best experience and access to advanced features. Part 1: Understand the differences in shift behaviour
Shifts can be created directly on an event or function, or through Labour Groups. The table below outlines how shift type affects where the shift can be viewed or edited:

Recommendation: Use Labour Groups if you rely on the Event Planner in the Back Office. Otherwise, shifts created directly on the event or function offer greater flexibility in the web interface.
Part 2: Add shift requirements directly to an event or function
- Go to Management > Rostering > Event Manager.
- Select the relevant event.
- Expand Event Shift Requirements or Function Shift Requirements.
- Click Add Shift Requirements.
- Select the Location, Department, and (if applicable) Area.
- Specify the required number of each Role and fill in the Start/End times and Breaks.
- Click Add.
You can repeat these steps for different departments or days if needed.
Part 3: Create shifts using Labour Groups
Labour Groups are useful for organising shifts by teams, locations, or departments within an event.
Create a Labour Group
- Expand the Labour Groups section.
- Click Add Labour Group.
- Enter a Name, select Date, Location, and Department.
- Define Start and End times, and other optional settings.
- Click Save.
Add shifts to a Labour Group
- Expand the Labour Group to show its contents.
- Click Add Shift Requirements.
- Select the same Location and Department used in the Labour Group.
- Specify the required number of each Role and fill in the Start/End times and Breaks.
- Click Add.
Each group can be configured to suit a specific function, team, or location.
Part 4: Edit or delete a shift requirement
Edit a shift requirement
- Locate the shift under either Event Shift Requirements or Labour Groups.
- Click the edit pencil icon
beside the shift.
- You can:
- Change the location, department, area, or role.
- Reassign the shift to a labour group.
- Click Save.
⚠️ Note: Assigned shifts cannot be edited in Event Manager. To make changes, reassign or delete the shift first.
Inline edits
- For unassigned shifts, edit start time, end time, break time, and break duration directly in the shift grid.
- These fields become editable when clicked.
Delete a shift requirement
- Click the trash icon
beside the shift.
- A confirmation box appears with options:
- Un-assign all shifts
- Un-assign and delete shifts
- Delete all shifts
- Select the option that matches your intention, then click Next.
Deleting a shift will remove it from the roster. If employees are already assigned, you’ll be prompted to choose how to handle those assignments.
Part 5: Assign employees to shifts
- Once shifts are created, locate the shift in the Event Shift Requirements or within a Labour Group.
- Click the people icon
next to the relevant shift (you may need to use the scroll bar).
- A list of eligible employees appears. Use filters to hide unavailable or already-rostered employees.
- Tick the employees to assign to each shift.
- Click Assign.
Assigned employees are now linked to those shifts. You can manage shift publishing via Roster Manager for a complete workflow.
Additional Information
- If you're transitioning from the back-office Event Planner, Labour Groups will help ensure compatibility.
- Shifts created through Labour Groups appear in the back-office Event Planner and support publishing from there.
- Without Labour Groups, shifts are fully manageable via Roster Manager only.
