Follow this guide to configure and run file imports using Integration Central in Humanforce WFM. File imports can be completed as one-off uploads from your device or scheduled for automatic import via Humanforce SFTP.
Part 1: Set up a file import task
- Go to Integration Central from the Humanforce main navigation.
- Select Add task from the home screen.
- In the Task type drop-down, select File Import.
- Enter a name for your task.
- Tip: Include the import type and employee group to help identify the task later.
- In the Data type drop-down, select the appropriate import template.
- To preview the structure and sample data, click Download template.
- Under File, choose how you want to upload the file:
- Local import – upload a file from your computer.

Humanforce SFTP – select a file stored in the SFTP folder.
- This option becomes available after your Humanforce SFTP setup is complete.
- (Optional) Add email addresses to receive completion notifications.
- Note: Times included in email notifications are in UTC. Convert to your local timezone to match the actual run time.
Once uploaded, the file will begin processing. When loading is complete, the field mapping screen will appear.
Part 2: Review and confirm field mappings
- Review the Source fields (from your file) and Target fields (in Humanforce).
- Source fields are auto-mapped where possible.
- Click Clear mapping to start from scratch, or Auto-map to remap fields automatically.
- Confirm or update the following for each mapped field:
- Format specifier – defines the expected data format.
- Lookup type – sets how values are matched (e.g. Name, ExportCode, GuidKey).
- Default value (optional) – a fallback value if the field is blank in the file.
Mapped fields must be correctly aligned for the import to succeed.
Part 3: Run or schedule the import
Option A: Local import
- Click Start import when prompted.
- Once the task runs, a summary log displays any errors or issues.
- If saved, the task will appear in the Integration Central home page for future reuse.
- You can upload new files using the saved mappings.
You'll see a success message if the import completes without errors.
Option B: SFTP import
- Set up a schedule to run the import at a future time.
- The file name must match the original filename selected.

To support recurring uploads where the filename changes (e.g. date-stamped files like
Role_Rate_Changes_270526.csv), use wildcard characters in the filename configuration (e.g.Role_Rate_Changes_'ddmmyy'.csv). Use the Preview to confirm the pattern matches the expected file.
- Click Save schedule to finish setup.
- The task will appear in Integration Central with the latest run status.
- You can manually trigger the task, view logs, or delete the task at any time.
When a matching file appears in the SFTP folder, the import will run automatically.
Notes on scheduled SFTP runs:
- Scheduled tasks do not pick up the "latest" file by default — they look for a filename that matches the configured pattern.
- If multiple files with the same name exist in the SFTP folder on the same day, the import will pick up the most recently uploaded file.
- If you run a scheduled task manually, save the schedule again afterwards to ensure the scheduled run is not affected.
- Older files are not deleted automatically from the SFTP folder. You can delete them manually, or ask your Humanforce Technical contact to set up an archive process.
