Summary

File Import process flow

On the Integration Central home page there is the option to add a task where you can select File Import.

To proceed to the field mappings you will first need to:

Enter a name for the import

Select the data type to match your import file

Select/Upload the file to be imported (additional information below)

As the next screen loads your file is being prepared for import.
Once loaded any fields used in the template will be auto-mapped to the Humanforce fields, please check and update these fields accordingly.
It is equally important to ensure that the format specifier and lookup type fields are updated accordingly to ensure all data can be successfully imported.
Default value is an optional field where the entered value will be applied to the corresponding field on import if the field has no value provided from the import file. -
Progressing to the next stage varies depending on whether a local or SFTP import is being configured.

Local import - the selected file will immediately begin importing based on the selected field mappings, when the import is complete a log will be displayed of any errors.

Humanforce SFTP import - Instead of the file importing now the scheduler needs to be configured to import the file for a later time, at which point the file will automatically import based on the file name from the Humanforce SFTP being an match to the file selected during setup, this is useful for automating imports from external systems.
Upon saving the schedule you will be taken to the Integration Central home screen where you will see the task, from here the task can be edited and deleted with recent logs also available.
The task can also be manually triggered on a demand basis with the last run status displayed.

Additional Information
Name: The name will be used to help identify which file import task does what when you have multiple file imports configured.
Hint: Include the type of import and target group of employees as part of the name for a clearer reference point.
Data type: This is a drop down list of the available import options
Download template: This will initiate a download for a template matching the selected Data type above, this will provide additional information on the import fields as well as show some example data.
File: This is for selecting the file to be uploaded, we have two options available, Local Import and Humanforce SFTP.
Local Import: This is the default import option and is used for importing a file from your local machine, you may drag and drop the file or use the Browse link to select your file through a pop-up window.
Humanforce SFTP Import: When importing from Humanforce’s SFTP you are given a drop down list of all the available files in the SFTP folder, select the file you wish to import to proceed.
Note: This option will only become available after requesting a once-off setup of your Humanforce SFTP.
Source fields: These are the fields which have been identified from the selected import file.
Target fields: These are the Humanforce API fields which the mapped data will be imported into, it is vital that these fields are correctly mapped to avoid any data issues.
Format specifier: This allows on a per field basis for the expected formatting to be changed, the chosen format must match the corresponding data in the file for a successful import.
Lookup type: This allows the data to import for the corresponding field based on the selected Name, ExportCode or GuidKey.
Default value: The value manually entered into this field will be automatically applied where the corresponding data from the import file is not provided.
Auto-map: Upon initially loading the field mapping screen the Source and Target fields will be auto-mapped where confidence is high between the naming conventions used, it is essential that the mapping is checked and updated where needed before proceeding to the next step.
In the top right hand corner there are also options to Clear the mapping so that you can review manually or initiate the Auto-mapping again, manually changed fields will not auto-map unless cleared first.
