Follow this guide to configure role and location-based qualification rules in Humanforce WFM. This ensures that shift alerts trigger in Roster Manager when employees without the necessary qualifications are assigned to shifts.
These alerts improve compliance by preventing unqualified staff from being rostered or clocking in to restricted roles.
Part 1: Add qualifications to roles
This setup ensures only qualified employees are assigned to specific roles.
- Go to Admin > Org Structure > Roles.
- Click
Edit next to the role you want to configure.
- Open the Qualifications tab.
- Tick the qualifications required for this role.
- Open the Mandatory Qualifications tab.
- Tick the box next to each qualification that should be mandatory for the role.
- Click Save to apply changes.
After saving, these qualifications will trigger warnings or prevent rostering in Roster Manager, depending on how alerts are configured.
Part 2: Add qualifications to locations and departments
This setup ensures that employees working in specific departments or locations meet qualification requirements.
- Go to Admin > System Config > Department Qualifications.
- Select a location, or expand it using the down arrow
to choose specific departments.
- Use the right-hand panel to manage qualifications:
- A solid tick
applies the qualification to all selected departments.
- A dashed tick
indicates the qualification is only partially applied.
- A solid tick
- Tick Assigned to require the qualification.
- Optionally, tick Is Mandatory to enforce it for all shifts in that department or location.
- Click Save to apply changes.
The panel will refresh, and the Save button will become hidden to indicate the latest changes were successfully recorded. These qualifications will trigger warnings or prevent rostering in Roster Manager, depending on how alerts are configured.
Next Steps

This ensures warnings or restrictions appear in Roster Manager when qualification requirements are not met.

- Permissions – Role Setup: To manage mandatory role qualifications, the permission Maintenance Screens > Roles > Allow mandatory qualification assignment must be enabled.
- Permissions – Department Setup: To access Department Qualifications, the permission Maintenance Screens > Department Qualifications > Allow editing must be enabled.

Shift Warnings: Qualification issues display as alerts in Roster Manager and appear in the Alerts panel under the Qualification check type.
- If a qualification is ticked only, it will trigger a shift warning
if missing. The shift can still be assigned and published.
- If the same qualification is also marked as mandatory, it will trigger a shift error
if the employee is missing or the qualification is expired. The shift cannot be assigned or published until resolved.

- Clock-in Blocking: If configured, employees without mandatory qualifications will be prevented from clocking in until updated.

Override Options: You can allow the override qualification restrictions via the Access Levels > Permissions under:

- TimeTarget Online > View Clock Timesheets Page > Override mandatory qualification requirements
