Follow this guide to create, manage, and remove shift consent templates that present agreement messages to employees when shifts with specific conditions are offered. These templates help ensure employees explicitly consent to shift arrangements that may differ from their standard working conditions, such as 24-hour care shifts or shifts with short turnaround times.
Part 1: Set access permissions
Before templates can be created or managed, ensure users have the appropriate permissions.

Go to Admin > Security Config > Access Levels.

Click
Edit on the relevant access level.

Select the Permissions tab.

Search for Shift Consent.

Under Maintenance Screens, enable:

Shift Consent Templates to allow view access.
-
Allow editing to enable create/edit/delete permissions.
-

Click
Apply Changes to confirm.
Part 2: Create a Shift Consent Template
Before creating templates, ensure relevant Shift Types are already configured within award profiles.

Go to Admin > Award Config > Shift Consent Templates.

Click + Add new Shift Consent Template.

Enter a Name and Export Code for internal identification.

Select at least one Shift Type (e.g., Sleepover Shift, Agreed Less than 10 hour gap).

Choose one or more Award Profiles to apply the template to.

If options are unavailable, the combination is already used in another template.

In Template Content, enter the message employees will see in the Work App.

Start with a heading such as Shift Consent Agreement.

Clearly outline any terms the employee must review.

Click Save.
The template will now be applied automatically when a shift offer or bid matches the defined Shift Type and Award Profile combination.
Part 3: Edit a shift consent template

Go to Admin > Award Config > Shift Consent Templates.

Click the
Edit icon next to the template you want to update.

Make the required changes to the name, shift types, award profiles, or template content.

Click Save to apply your changes.
You cannot add combinations already used in other templates. Each template must have a unique Shift Type and Award Profile pairing.
Part 4: Delete a shift consent template

Go to Admin > Award Config > Shift Consent Templates.

Locate the template you wish to remove.

Click the
Delete icon beside the template.

Click Delete to confirm the deletion.
Deleted templates will no longer apply to new shifts. However, previous shifts already linked to the template will retain the consent message for auditing and historical reference.
Next steps
Once your shift consent templates are configured:

In Roster Manager, the manager must apply the correct Shift Type to the shift, this determines which consent template (if any) is triggered.

Employees will receive the configured consent message in the Work App. They must accept the message before they can bid on or confirm the shift. Learn more: How shift consent applies in the Work App.
Additional information

Shift consent messages are only shown in the Work App. They are not supported in the legacy Humanforce App or the web portal.

Templates are automatically selected based on the employee’s Award Profile and Shift Type, no manual selection is required.

If no template matches a shift, no consent message will be displayed.
