Follow this guide to enable availability approvals in Humanforce WFM (Web). Availability approvals allow managers to review and approve availability changes submitted by employees, including single-day and recurring availability updates.
To enable availability approvals, you must configure system settings, navigation access, and access level permissions.
Part 1: Enable availability approvals system-wide
Availability approvals must be enabled at a system level before they are available to managers.
- Go to Admin > Admin Config > System Settings.
- Select the Leave / Availability tab.
- Turn on Enforce availability authorisation.
- Scroll to the bottom of the page and select Save Changes.
Availability submissions now require approval before they take effect.
Optional (recommended): Enable notifications
- In the same Leave / Availability tab, turn on Enable Leave Notifications.
- If notifications are already enabled for leave requests, this setting will also cover availability approvals.
Part 2: Enable the Availability Approvals page in navigation
Managers must be able to access the Availability Approvals page from the menu.
- Go to Admin > Admin Config > Nav Manager.
- Locate Availability Approvals.
- Ensure the page is enabled for the required navigation views (for example, ESS or Kiosk where applicable).
- Scroll to the bottom of the page and select
Save.
The Availability Approvals page appears in the Management menu for enabled users.
Part 3: Grant access to approve availability
Access levels determine which users can view and action availability approvals.
- Go to Admin > Security Config > Access Levels.
- Click Edit on the relevant access level (for example, Manager).
- Under permissions, enable:
- Availability Authorisation
- TimeTarget/Humanforce Online > View Availability Approvals
- Click
Apply Changes.
Users with this access level can view and action availability requests.
Optional (recommended): Review related availability permissions
Depending on your workflows, you may also want to review these permissions:
- View Employee Leave/Availability
- View Staff Availability
- Availability Map
These permissions control visibility of availability data but are not required to approve requests.
Managers can view availability context alongside approval requests.
Additional information
- Availability approvals apply to both single-day and recurring availability changes submitted by employees.
- If notifications are enabled, employees receive a system notification when their availability request is approved or declined.
- Availability approvals are separate from leave approvals but follow a similar review and approval workflow.
