Follow this guide to send, view, and delete messages in Humanforce WFM (Web). Messages in Humanforce allow communication between employees and managers through Chats and Notifications.
- Chats are one-to-one conversations that can be replied to.
- Notifications are one-way broadcasts that appear on the Humanforce Web Home page and mobile app.

Part 1: View messages
You can view all messages sent to or from you from the Messages screen.
- Go to Employee > Messages > Chat.
The Messages page displays your conversations and notifications. - Choose what to display from the Show dropdown:
- Chats – private conversations
- Notifications – system or manager broadcasts
- Select a message from the list on the left to view its content in the main panel.
- Unread messages are marked with a blue dot.
- Click any message to open and mark it as read.
- To filter messages, use the options above the list:
- All
- All read
- All unread
You’ve now successfully viewed your messages in Humanforce WFM (Web).
Part 2: Send a message
You can send either a Chat or a Notification, depending on your access permissions.
- Go to Employee > Messages > Chat.
- The Messages screen displays your existing Chats and Notifications.
- From the Show dropdown, select the message type:
- Chats – for private, two-way communication
- Notifications – for one-way announcements
- Click New.
- The New Message window opens.
- Use filters to find recipients:
- Location
- Department
- Role
- Pay Company (if enabled)

Select one or more employees:
- Use Add to move selected employees to the Selected Employees list.
- To message all employees shown, click Add all.
Tip: If you select multiple recipients for a Chat, each person receives their own private message thread.
- Type your message in the Message field.
- Click Send.
Your message is sent instantly. Notifications display on the Home page, and are sent as push notifications to the Humanforce Legacy app.
Part 3: Delete messages
You can delete individual or multiple messages (Chats or Notifications).
Delete a single message
- Go to Employee > Messages > Chat.
- Select the message you want to delete.
- Click Delete chat or Delete notification in the top-right corner.
- Confirm your choice when prompted by selecting OK.
The message is deleted and removed from your inbox.
Delete multiple messages
- In Employee > Messages > Chat, hover over the message list.
- Tick the checkboxes beside each message you want to delete.
- Click the
Bin icon at the top of the page.
- A confirmation pop-up appears: Are you sure you want to delete these notifications?
- Click OK to confirm.
Tip: To quickly select all messages on the current page, tick the checkbox beside Notifications or Chats at the top of the list.
If there are multiple pages, select Select all [number] notifications from the bar to bulk delete all.
Additional information
- The ability to send, view, or reply to messages depends on Access Level settings in your organisation’s configuration.
- Chats allow two-way communication with colleagues, depending on access permissions.
- Notifications are one-way only and cannot be replied to.
- Deleting a chat removes it from your view, but messages may still be stored for compliance depending on your organisation’s policies.
- System-generated messages (for example, leave requests or shift offers) appear under Notifications.
