Follow this guide to create a shift type group and assign leave types so multiple leave types can share a single balance. Shift type groups are commonly used when different leave types (for example, Personal Leave with and without certificate) draw from the same entitlement.
Part 1: Create a shift type group and assign leave types
This is the primary workflow when setting up a new group.
- Go to Admin > Award Config > Shift Type Groups.
- Select + Add new record.
- Enter a clear, descriptive name for the group (for example, Personal / Carer’s Leave).
- Select the leave types to include in the group.
- Only leave types configured as Leave Type and Enable Accruals can be selected.
- Leave types that appear greyed out must be updated before they can be added.
- Select Update.
The shift type group is created, and the selected leave types now share a single balance.
Part 2: Assign or update leave types in an existing shift type group
If a shift type group already exists, you can add or change which leave types belong to it using either of the methods below.
Update the group from the Shift Type Groups page
Use this method when managing group membership in one place.
- Go to Admin > Award Config > Shift Type Groups.
- Select
Edit next to the relevant group.
- Select or deselect leave types as required.
- Select Update.
The group is updated, and the selected leave types now share the group balance.
Assign a group from an individual shift type
Use this method when configuring or updating a specific leave type.
- Go to Admin > Award Config > Shift Types.
- Select
Edit next to the relevant leave type.
- Ensure Leave Type and Enable Accruals are enabled.
- In Group (for Shared Leave Balances), select the appropriate shift type group.
- Select
Save.
The leave type is linked to the selected shift type group and will share its balance.
Additional information
- Leave types can only be added to a shift type group if they are configured as a Leave Type and have Enable Accruals turned on.
- In Workforce Analytics and reports such as the Leave Balance Report, individual leave types show their own accrued and taken values, while the Group Balance reflects the shared total.
- When leave is approved for any leave type in the group, the taken amount reduces the group balance for all leave types in that group.
- Employees who have permission to view leave balances will see both Current Balance and Available Balance in the Leave Summary on their home screen.

To create and manage shift type groups, your access level must include:
- View Administration Section

Maintenance Screens > Shift Types > Allow editing - View and edit Shift Type Groups
Maintenance Screens > Shift Type Groups > Allow editing
If you cannot access these options, contact your Humanforce Administrator to update your permissions.
