Shift Type Groups allow you to share a balance across multiple leave types. For example, if Sick Leave and Carer's Leave come from the same balance, you can group them together.
This article will provide steps on editing an existing Shift Type within Humanforce, as well as a definition of each available setting in the Shift Type's options.
Required permissions
In order to adjust the details of a shift type in Humanforce, the access level assigned to your employee profile must have the below permissions enabled:
- View the Humanforce Administration section:
- TimeTarget Online > View Administration Section
- View and edit Shift Types:
- Maintenance Screens > Shift Types > Allow editing
- View and edit Shift Type Groups
- Maintenance Screens > Shift Type Groups > Allow editing
Information on viewing or adjusting permissions for an Access Level is available in the below article:
Note: You can check your own access level by going to your employee profile, under the
Employment tab.
If you cannot see the Access Levels option in your Humanforce Admin screen, you will
need assistance from an administrator of Humanforce within your organisation to have your
permissions adjusted.
Creating a specific Shift Type Group
Shift type groups are adjusted within the Administration section of the Humanforce website. When logged in to Humanforce, select the Admin drop down menu item.\
In the Award Config section, select Shift Type Groups.
Click Add New Record to create a new group.
Name the Group and select which leave types should be included. If a leave type is not yet created or is unable to be ticked, you can add the group to the leave type directly later.
As the disclaimer on the New Shift Type Group window indicates, a grayed out shift type means that it hasn't been configured as a Leave Type or for Accruals. In the shift type, the boxes must be ticked for Leave Type and Enable Accruals to be available for a Shift Group.
Using the Balance
When looking at an employee's leave balance via a Leave Balance Report, you will see the leave hours accrued on only one Leave Type. However, if it's associated with a group, the Group Balance will be the same for all Leave Types in the group.
Information on reports available in Humanforce is available in the below article:
- What are the different reports in Humanforce?
- Standard Reports in Humanforce (Video)
- Workforce Analytics Overview
Note: If you cannot see the reporting options in your Humanforce screen, you will
need assistance from an administrator of Humanforce within your organisation to have your
Access Level permissions adjusted.
If a leave request is authorised for any of the Shift Types in the Group, then the Taken time will show for the actual leave type taken and the Group Balance will decrease.
If an employee can view this balance, the Leave Summary section of the Humanforce home screen displays the Current Balance and Available Balance.
Understanding Current Balance vs Available Balance
The Current Balance reflects the leave balance of the employee that was brought in when payroll integration was last run.
The Available Balance is the current balance plus any accrual projections and minus any future leave requests.
