Follow this guide to create and assign leave accrual projection settings in Humanforce WFM (Web). Leave accrual projections define how leave balances accrue over time and how projected balances are displayed when employees view or request leave.
Part 1: Create a leave accrual setting
Leave accrual settings act as a container that holds accrual rules for one or more leave types (for example, Annual Leave or Personal Leave).
- Go to Admin > Award Config > Shift Type Settings.
- Select + Add new record.
- Enter a clear, descriptive name for the setting (for example, Full Time - Standard Accruals).
- Select
Save.
- Select Settings next to the newly created record to begin configuring leave accrual rules.
Your leave accrual setting is created and ready for leave type rules to be added.
Part 2: Configure leave accrual rules
Each leave type must be configured individually within the leave accrual setting.
- Select Settings next to the relevant Shift Type Setting.
- Select Add new record.
- Select the relevant Shift Type (for example, Annual Leave).
- Choose the Calculation Method, such as:
-
Hours worked
- Refer to Hours worked leave projection calculation for details on how projections are calculated.
- Per pay
- Per year
-
Hours worked
- Enter the required Leave Accrual Settings, such as:
- Accrual rate
- Minimum working period
- Anniversary reset rules (if applicable)
- Configure additional options as required, including:
- Request limits (maximum hours per year, displayed balance limits, or maximum consecutive hours)
- Accrual caps or maximum balance limits
- Leave average hourly rate calculation
- Auto payouts
- Select

- Repeat these steps for each additional leave type that should accrue under this setting.
Accrual rules are configured for all required leave types within the leave accrual setting.
Part 3: Assign the leave accrual setting to employees
To apply leave accrual projections, the setting must be assigned to employee profiles.
Assign manually via Employee Management
- Go to Management > Employee > Employee Management.
- Search for and select the employee.
- Open the Employment tab.
- In the Leave Accrual field, select the relevant leave accrual setting.
- Select Save.
The leave accrual setting is assigned to employee profiles and will be used to calculate and display leave projections.
Assign in bulk via Integration Central
If you manage employees in bulk, you can assign leave accrual settings through Integration Central uploads.
For full instructions, see Upload employee basic details to WFM using Integration Central.
Additional information
- Shift type settings can be used to:
- Accrue leave balances in Humanforce, or
- Project future leave balances without applying accruals
- Request limits can be configured to control how much leave employees can request for specific leave types.
- Employees can view projected balances when checking leave balances or submitting leave requests, depending on your organisation’s configuration.
- Changes to leave accrual settings affect future projections but do not automatically recalculate historical balances unless specifically configured to do so.
- Your ability to create or assign leave accrual settings depends on your access permissions. If options are unavailable, contact your Humanforce Administrator.
