Follow this guide to record, update, and manage extended leave for employees in Humanforce HR. Extended leave may be used for long-term absences such as maternity, study, or long-term illness. Keeping these records up to date ensures visibility across the organisation and allows you to reassign direct reports to maintain productivity.
Part 1: Put an employee on extended leave
Go to the employee’s profile and open the Jobs tab.
Select Job actions > Go on Extended Leave.

Enter the following details:
Effective from and Effective to dates
Leave Reason
Modified FTE
Select Save.

When prompted, choose whether to:
Apply the ‘Go on Extended Leave’ workflow
Or Skip the workflow if not needed
If the employee has direct reports, at the end of the process, you’ll be prompted to reassign any direct reports. Reassigning reports at this point ensures continuity in reporting lines.
Once the leave is applied, a Return from Extended Leave workflow will trigger when the employee is marked as returned.
Part 2: Edit extended leave after finalisation
Go to the employee’s profile and open the Jobs tab.
From the Job actions menu, select Edit history.
Scroll to the Extended Leave section.
Hover over the relevant record and select the pencil icon to edit.
Update the information and click Save.
Your changes will be saved to the employee’s job history and reflected in the relevant reports.
Part 3: Update the list of leave reasons
Go to Settings > All settings.
Select Leave types.
Click Create leave type.
Enter the name of the new leave reason.
The new leave type will now appear as an option in the extended leave form.
Additional information
When leave is applied, the system will remember the previous remuneration schedule and automatically revert to it upon return.
You can update the timing or skip workflow forms as needed when the Return from Extended Leave workflow is triggered.

Contact your System Administrator if you do not see the Go on extended leave or Edit history options.
