In this article we'll step you through how to run a Pay Calculation so you can see payroll costs and do your payroll checks. After you run a Pay Calculation, you can go back into timesheets, make changes and run a Pay Calculation again. This process can be repeated as many times as needed.
To prepare for Pay Calculation, you first need to upload Authorised timesheets from Humanforce WFM and complete any necessary:
- Employee Maintenance changes
- Pay Adjustments and
- Terminations.
Step 1: Calculate payroll and resolve any Control Errors
When you're ready to run a Pay Calculation, go to Payroll > Payroll Processing > Pay Control and click Calculate Pay.
Review the Control Errors tab and resolve any alerts there.
- If you are using a TNA supported by Westpac Integrated Banking Service (WIBS) and have processed an ad-hoc Pay Adjustment or Termination but have not approved that transaction for release to the bank, you will need to reject the Pay Adjustment (if it is in the past) and re-enter again for payment if still required.
- If you are using your own EFT and an ad-hoc Pay Adjustment has not been finalised you will need to delete or finalise it to proceed.
Step 2: Review payroll calculations
Click the Pay Control Charts tab to view:
- Pay Values – Gross, Taxable Income, Tax and Net
- Pay Method – EFT, AdHoc EFT, Deduction EFT and Non EFT
- Paid Employees – Full Time, Part Time and Casual
- Timesheet Count – Created, Submitted, Reminded, Escalated and Authorised
Tip: Seeing a Timesheet Count of zero and there are no graphs? Make sure you've clicked Calculate Pay
Click the Pay Control Report tab to review standard and any additional reports you have setup.
The two standard reports that are generated are:
- Net Pay Variance
- Pay Journal.
Both standard reports are CSV. To open or save the report, simply click on the Report Name.
Step 3: Make amendments and re-calculate as needed
If needed, return to timesheets or other pay elements and amend as needed. Calculate Pay again to see the changes applied.
Step 4: Request Authorisation of Payroll
Once you are satisfied with the payroll and it's ready to be Authorised (by yourself or someone else) click Request to Authorise.
The appropriate person will be notified via email and payroll status will change to Awaiting Authorisation.
Note you will still be able to view the Pay Control History while the payroll is Awaiting Authorisation.
