In this article, we'll show you how to complete Payroll Authorisation. Once you authorise payroll, all other steps, such as updates to employee leave balances and year to date figures are actioned automatically. You cannot un-authorise a payroll, so make sure you're happy with all elements before authorising.
Step 1: Review the Pay Authorisation Reports
- Click the link on the email notification you received or log into Humanforce Payroll and go to Payroll > Payroll Processing > Payroll Authorisation.
- Click the Pay Authorisation Report tab to review the reports that are generated at Pay Calculation and make any required checks.
Step 2: Approve or Reject the payroll
Once your checks are complete, choose whether to Approve or Reject the payroll.
If you Reject the payroll
- You will be prompted to add in a comment. You must enter a comment to Reject the payroll.
- The status of the payroll changes to Rejected and
- The Pay Authorisation History will be updated to reflect that the change in payroll status.
- An email will be sent to the appropriate person to advise that the payroll has been rejected.
Changes can then be made to the payroll as required. The Calculate Pay process will need to be run again, which will update the Pay Control Reports for checking, and payroll re-submitted via Request to Authorise. When the payroll is resubmitted for authorisation, simply repeat Step 1 above to check the updated reports.
If you Approve the payroll:
- the system will start updating items such as Employee Leave Balances, Year to Date figures etc. This process may take a few minutes depending on the size of your payroll.
- As soon as these steps have been finalised the payroll will automatically set up for the next scheduled payroll process and be in the ‘Active’ status.
- All reports that are generated as part of authorising the pay will be loaded into the Report Management System (RMS).
