Follow this guide to enable and configure Chat messaging in Humanforce WFM and the Humanforce Work app.
Chat allows managers and employees to send one-to-one and group messages across locations and departments once permissions are correctly configured.
Part 1: Request Chat activation for your organisation
- Contact Humanforce Support to request Chat messaging be enabled for your organisation.
- Activation must be completed by Humanforce before any setup steps can take effect.
- Wait for confirmation that Chat has been enabled.
Once enabled, your organisation can access Chat in both Humanforce WFM and the Work app. - Continue with the following parts to complete setup.
Messaging will not function until it has been enabled by Humanforce. Ensure activation is confirmed before proceeding.
Part 2: Bulk sync users to the Chat system
- Go to Admin > Admin Config > System Settings - General.
- Scroll to the bottom of the General tab.
- Click Sync Stream Chat Users.
- Wait for the sync to complete. This may take several hours for large databases.
Once the sync completes:
- All existing users become searchable in the Work app for chat creation.
- Future users are automatically added when their profile is created and synced to the mobile app.
Optional: If you do not perform a bulk sync, users will appear in Chat once they visit the Messages screen in the Work app.
Bulk syncing is recommended to ensure all users are available immediately.
You can click Sync Stream Chat Users multiple times without creating duplicates.
The system prevents duplicate records automatically.
Part 3: Configure Chat permissions for tailored access
- Go to Admin > Security Config > Access Levels.
- Locate the Access Level you want to modify and click Edit.
- Select the Permissions tab.
- Search for Enable Stream Messaging.
- Configure permissions based on your organisation’s communication needs.
- Enable Stream Messaging
Activates the new Chat feature in WFM and the Work app for this user group. - Allow sending to assigned departments (vs default only)
Lets users start chats with employees in any of their assigned departments.
This is limited by the location permissions below. - Allow sending to all departments
Overrides department restrictions but still respects location permissions. - Allow sending to assigned locations (vs default only)

- Enable Stream Messaging
Additional information
- The new Chat system is separate from the legacy messaging tool in the Classic app. Conversations do not transfer between systems.
- The new Chat permissions mirror previous messaging settings to simplify migration and reduce setup effort.
- Whether a user appears as available in Chat depends on both the user sync and permission configuration being completed successfully.
- Permissions can be adjusted at any time in Security Config > Access Levels.
- Chat access requires the latest version of the Humanforce Work app for full functionality.
Users without sufficient permissions will not appear in Chat searches. If a user cannot access messaging after setup, confirm their Access Level and sync status.
