Follow this guide to create and manage groups of shifts in Humanforce Cloud using the new single-day view and Labour Group functionality. Labour Groups help streamline shift setup by automatically applying shared settings to all shifts within the group - particularly useful for event management.
This functionality is available as of HF Cloud release 6.0.66
NOTE: Back Office Event templates are not directly supported in Template Manager - however - once the roster has been imported, it can be saved as a template in HF Cloud. Refer to Part 5 below for instructions on converting a template for use in HF Cloud.
Part 1: View Labour Groups
To view and manage labour groups, the template needs to be displaying one day at a time. This is because a labour group is only valid for a single day.
If your template length is 1 day, then you can skip to step 4.
- Open the template you wish to edit, and click on the All Days option in the toolbar. If you don't see this, you may already be viewing a single-day template.
- Select the Week and Day you wish to focus on.
- Click Apply - the view will update to show a single column of shifts for that day.
- Select Group By and choose Labour Group. If you don't see this option, ensure you are limiting the days view to a single day.
- The roster view will update to reveal any existing labour groups on the left. Any shifts without a group will be shown in a "None" section.
- From here you can start adding shifts to an existing Labour Group, or you can navigate forward and backward to view the Labour Groups across each day of the template.
Part 2: Add a Labour Group
- On the upper left corner of the grid, you should find a button + Labour Group. If it's not visible, ensure the above steps have been completed.
- Click the button to open the Labour Group Details dialog and complete the information as required. You should populate all fields to be used as defaults when creating shifts within this group - this speeds up shift creation and ensures shifts within the group are aligned.
Note that a Labour group can only exist on a single day.
Expand a Labour Group to view the shifts or add individual shifts.
Part 3: Edit, Copy or Add Multiple Shifts
Labour Groups in a template support several bulk actions, in much the same manner as Roster Manager.
For further guidance on these actions please review the article Use Labour Groups in Roster Manager.
Part 4: Import the Template in Roster Manager
Now that you've configured a template with Labour Groups, you can import the template into Roster Manager via the Templates menu in the upper right corner of the Roster Manager screen.
All shifts in the templates will be imported, including labour groups. However, any empty labour groups (those with zero shifts) will be ignored during the import.
Additionally, if the system detects a conflict in Labour Group names, you will need to either change the names in the template or in the roster, before continuing.
Part 5: Save an event roster as a template
To reuse the shift setup (including Labour Groups) from a Back Office template, follow this migration approach:
In Back Office, import the event template into the roster.
In HF Cloud, open Roster Manager and navigate to the same date range.
Verify that the shifts and Labour Groups appear as expected.
-
Click Save as template in the toolbar.
The save process has been upgraded to capture Labour Group data along with the shifts.
Your event roster is now saved in Template Manager, ready for reuse in HF Cloud.
Additional information
Labour Groups are only valid for one day, even in multi-day rosters. You can copy labour groups - including their shifts - to handle additional days with similar labour requirements.
If Labour Groups aren’t visible, ensure you’re in single-day view and have the Group By view set to Labour Group.
Back Office event templates are not supported in Cloud at this time.
The “None” section in the Labour Group view shows shifts that haven’t been assigned to a group.
