Starting with version 4.8.30, you can collect qualification details (e.g. Working with Children Checks, RSAs, Forklift Licenses, First Aid, etc) with the onboarding process and have those automatically add to the employee record in Employee Management.
Generating Onboarding Codes
When an administrator or manager goes to generate an onboarding code, they'll have a new section to select qualifications employees need to provide. The list of qualifications your organisation has configured will display in this section. If you need to set up new qualifications, check out How do I create a new Qualification Type?
Tick the boxes for any relevant qualifications before submitting the employee.
Employee Experience
When the employee gets to the Uploads section in their onboarding, any qualifications requested will appear in their documents list.
The employee will need to select the document type that corresponds with the qualification and either upload a file or capture a photo of the qualification. If the expiration date is required for the qualification, then the employee will also need to enter this information before proceeding.
Confirming the Qualification
After the employees has submitted their initial onboarding, it goes back to an administrator or manager to review the information and documents before continuing on to the signing step. A new section for Qualification Uploads will allow the approver to view what the employee has submitted.
For example, the approver can confirm that the expiry date entered by the employee matches what is on the document they uploaded.
If there are any concerns, the approver can choose to Request update from the employee. But if everything looks fine, they can set the onboarding to For Signing.
Employee Management
Once the full onboarding process has been completed (the employee has signed and then been approved), the employee record is created in Employee Management.
If you review the Qualifications section, you will see the uploaded qualification.
Click on the Qualification Type to drill in and get any additional information including the image or document that was uploaded by the employee.
