Follow this guide to understand the key display options and visual indicators available in Roster Manager, helping you better manage shift coverage, people scheduling, and role assignments.
Roster Manager includes multiple view modes and visual cues designed to help operational managers interpret rostering data at a glance.
Understand the different roster views
Roster Manager offers three main views: Shift view, People view, and Role view. Each view presents your roster differently depending on whether you want to focus on coverage, people, or roles.
Shift view
Shift view displays a summary of all rostered shifts for the selected period. It provides a top-down view of total shifts per role, per day, making it ideal for reviewing shift coverage across your organisation.
People view
People view displays employees vertically down the left-hand side of the grid. Shifts appear horizontally against each employee row, showing who is working when. The top row displays unassigned shifts, grouped into an expandable section for easy identification.
This layout is ideal for teams moving from Employee Rostering, as it presents a familiar structure for reviewing individual workloads and allocating shifts directly against employees.
Role view
Role view displays all active Roles vertically down the left-hand side. Shifts appear on the same row as the corresponding role, showing the distribution of shifts across roles. This view is ideal for managing shift allocation by function, especially when scheduling for multiple locations and departments.
This layout is ideal for teams moving from Department Rostering, offering a familiar overview of operational needs grouped by role, department, and location. You can replicate previous department-focused views by applying filters or using Group by Location and Department for clarity.
Interpret visual indicators on the roster
Visual indicators help you quickly identify details like shift ownership, leave status, public holidays, and more.
Role colours
In Shift and People views, each shift includes a coloured border on the left-hand side that reflects the role it belongs to. These colours are defined in the Role setup and offer a fast, colour-coded reference for identifying shift roles across your roster.
Role hierarchy
When using Group by Location and Department in Shift or Role view, roles within each grouping follow the role hierarchy defined under Admin > Org Structure > Locations – Assign Roles to Departments. This ordering helps maintain consistency with your organisational structure and simplifies shift planning when working across multiple roles.
Leave and availability
In People view, you’ll see availability and leave details directly within the employee’s row.

appears with a time range and approval status, helping you avoid scheduling conflicts.

Availability (both one-off and recurring) displays clearly, so you can align shifts with when employees are available.
These indicators assist with compliant and efficient rostering by showing when employees are unavailable or prefer to work.
Public holidays
If a public holiday falls within your selected date range, you’ll notice visual highlights:

The day header will have a blue background and a dark blue top border.

In People view, employees entitled to the holiday will have the same dark blue top border and a calendar icon
. Hovering over the icon reveals the holiday’s name.
These markers ensure visibility of non-working days and help you plan alternative coverage where needed.
