Overview
The Active Vacancies dashboard provides a comprehensive view of your recruitment performance, tracking open and on-hold job vacancies, candidate pipeline progression, and talent acquisition metrics.
This dashboard focuses on jobs that are actively being worked on. It excludes closed or cancelled vacancies, allowing you to monitor current recruitment efforts and identify bottlenecks in your hiring process.
Key Metrics
The dashboard displays the following KPI metrics at the top of the Overview tab:
Open Jobs – The total count of all job vacancies with a status of Open.
Pending Approval Jobs – The count of job vacancies awaiting approval before recruitment can begin.
On Hold Jobs – The count of job vacancies temporarily on hold, paused until further notice.
Jobs at Offer Pending – The count of jobs where at least one candidate has reached the Offer Pending status.
Unfilled Positions – The total number of open positions across all active job vacancies. This represents the capacity gap in your workforce.
Overdue Jobs – The count of job vacancies that have exceeded their target fill date or desired start date, indicating delayed recruitment.
Visualizations
The dashboard includes 20 visualizations organized across three tabs: Overview, Deep Dive, and Row Data. The following table describes the key visualizations and their purpose:

| Unfilled Positions & Days Open by Recruiter | A combination chart displaying unfilled positions and average days open for each recruiter. Helps you assess recruiter workload and performance. |
| Filled & Unfilled Positions by Job Category | A stacked bar chart comparing filled and unfilled positions across job categories. Identifies which categories have the highest recruitment demand. |
| Filled & Unfilled Positions by Job Status | A stacked bar chart showing the distribution of filled and unfilled positions by job status (Open, On Hold, Pending Approval). |
| Unfilled Positions by Days Open Range | A stacked bar chart grouping unfilled positions into time buckets (0-30 days, 31-60 days, 61-90 days, 90-120 days, 121+ days). Highlights vacancies that have been open longest. |
| Applications by Current Candidate Status Group | A waterfall chart showing the progression of candidates through the recruitment pipeline. Reveals where candidates drop off or advance. |
| Jobs by Max Candidate Status Group | A waterfall chart displaying how far candidates have progressed for each job vacancy. Helps you identify jobs with strong or weak candidate pools. |
| Candidates in Offer Pending | A detailed table listing all candidates currently at the Offer Pending stage, including recruiter, hiring manager, application dates, and current status. |
| Unfilled Positions Table | A comprehensive table showing Job ID, Status, Recruiter, Hiring Manager, Positions, Days Open, Target Days to Hire, Applications, Candidates, and Desired Start Date. Use this for detailed analysis and reporting. |
Additional visualizations on the Deep Dive tab provide breakdowns by hiring manager, job location, and business unit.
Filters
You can refine the dashboard view using the following filters. All filters are optional and allow multiple selections:
- Recruiter Name – Filter to specific recruiters managing job vacancies.
- Company User Role – Filter by the role associated with the job vacancy.
- Job Vacancy Category – Filter by high-level job categories (e.g., Operations, Sales, Engineering).
- Job Vacancy Sub Category – Filter by more specific job classifications within categories.
- Job Vacancy Segment – Filter by business segment or division.
- Job Vacancy State – Filter by the state or region where the job is located.
- Job Vacancy Country – Filter by country for multi-national organizations.
- Talent Pool Business Unit – Filter by the business unit managing the talent pool.
Filters apply across all visualizations on the dashboard. Use them to focus on specific recruitment areas or compare performance across teams.
Deep Dive Options
The dashboard provides three levels of exploration:
Overview Tab – High-level KPIs and summary visualizations for quick insights into recruitment performance.
Deep Dive Tab – Detailed breakdowns by recruiter, hiring manager, and location. Use this tab to analyze performance at the individual or team level.
Row Data Tab – Granular, transactional views of job vacancies and candidates. Click on any data point in a visualization to drill through to the underlying records.
You can also click on individual chart elements (bars, lines, or data points) to apply temporary filters and explore specific subsets of data.
Understanding Key Calculations
Unfilled Positions is calculated as the total number of positions for a job vacancy minus the number of filled positions. This represents open capacity.
Days Open measures the time elapsed since a job vacancy was opened, excluding any periods when the job was on hold. This helps you track time-to-fill performance.
Days Open Range groups vacancies into time buckets: 0-30 days, 31-60 days, 61-90 days, 90-120 days, and 121+ days. Vacancies in higher ranges may require intervention.
Overdue Jobs are flagged when the number of days open exceeds the target days to hire, or when the desired start date has passed. Use this metric to prioritize urgent vacancies.
