Pre-requisite: Thrive Connector has been configured.
How to configure Thrive connector.
1. The next step is to ensure the Thrive Pay type that was selected has been configured correctly for Payroll export.
This process will change depending on the Payroll system being used, the important part to check is the export behaviour/mapping of the Pay Type.
For Humanforce Payroll and some similar Integration Central based integrations there is a Payroll Export tab within the integration task.
In this section the Thrive deduction Pay Type that was selected in the Thrive task will be available in the list, ensure to check each of the columns have been set to export as a deduction with the matching value from Payroll.
If you require assistance on this step then please raise a ticket with Humanforce and a consultant will reach out. Humanforce Help
2. Deductions from Thrive will be automatically imported into Humanforce during Payroll processing so that they can be included in the timesheet export/upload.
These will be visible in the Payroll screen as below using the Thrive Pay type that was configured earlier.
3. With Thrive enabled the Payroll export options will display differently to represent the new Payroll flow that incorporates Thrive Deductions. The actual export behaviour has not changed.
4. Finalise deductions.
It is essential that deductions are finalised before exporting Payroll as this locks in the data within Thrive so that it knows the deductions have been paid as well as completing a final update to import any last minute deductions from Thrive into the payrun.
The finalise deductions step can only be completed once per a pay companies pay period, as such it should be skipped when performing testing or repeated uploads so that it can be used for the production pay of employees.
5. The payrun export/upload.
This step will vary depending on the Payroll system used, this step itself has not changed and so the process will be the same as what has been completed in previous payruns.
6. Reconcile Thrive Deductions.
During the processing of your payroll, you may find you need to drop or modify Thrive deductions. You will need to make note of this and reconcile deductions on the Thrive portal as soon as possible. Withdrawals will appear as outstanding on an employee’s app until you have reconciled with Thrive.
Once you’ve finalised deductions in Humanforce, a reconciliation report will automatically appear in the “Reconcile Deductions” section of the Thrive Dashboard. Click “Reconcile” to complete the report.
If all deductions are successful (and therefore all withdrawals successfully repaid to Humanforce Thrive), simply click “reconcile”. All employees will be auto-selected in the report.
In the event that there were any unsuccessful deductions against a specific employee, untick an employee from the list and tap on “Reconcile” as shown below. You can use the Search box to help you find an employee.
In the event that there were any partial deductions, untick an employee from the list and specify the amount that was able to be deducted and click “Reconcile” as seen in the image below.
Once complete, you can view historic deduction files by tapping “Deductions” on the left panel.
How Humanforce Thrive treats failed repayments
When an individual withdraws money through Humanforce Thrive, they provide consent that the money withdrawn will be repaid at the end of the pay period through a deduction from their pay cheque. The consent process is clear and simple, ensuring transparency between Humanforce Thrive, the employee and the employer.
In the event that a repayment fails, that is, an employee’s withdrawal cannot be deducted from their pay cheque, we will be notified when your reconciliation report is completed in our Portal.
We will take one of two actions, depending on the circumstance:
- If the employee is still employed, we will carry over the outstanding amount to be repaid in the following pay period or,
- If the employee is no longer employed, we will be in touch with them directly to arrange for repayment.
We make sure that users have an exceptional experience with our app. If we need to collect funds from a user, we will make sure this process is as seamless as possible and leaves as positive an impression as possible. For more information, refer to your legal department or ask us for a copy of the legal documents which outlines the contractual obligations of each party.
If applicable there may be Payslip button, this will import the payslips from the Payroll system, this should only be used after payroll is complete and the payslips have been generated, please reach out to your Payroll provider for timelines on Payslip availability.
