This guide supports the integrated Humanforce HCM Suite, including Humanforce HR, Workforce Management (WFM), and Payroll, by outlining how field data syncs across systems.
It’s intended for implementation teams, technical administrators, and integration consultants who are setting up or maintaining system integrations.

Integration flows
When using the full Humanforce HCM Suite, employee data flows in a one-way sequence from HR → WFM → Payroll, preserving data integrity and ensuring each system acts as the master for specific data types.
This section outlines how updates are triggered and transferred across systems using a combination of real-time webhooks, scheduled synchronisation, and manual triggers.
HR → WFM → Payroll
Employee Data changes made in Humanforce HR automatically sync to WFM and Payroll using real-time HR webhooks:

Job Created Webhook – When a primary job is created, a new employee record is created in WFM with synced personal details, job data, and valid qualifications.
- Payroll receives new and updated employee and job data automatically when employee forwarding is enabled.

Person Updated Webhook – Triggered when personal, job, or qualification details are updated in HR.
- Payroll receives new and updated employee and job data automatically when employee forwarding is enabled.
- Qualification Instance Updated Webhook – Sends updated or renewed qualifications from HR to WFM.
- Job End Date Finalised Webhook – Sends the job end date to WFM when a job is formally ended in HR.
- Person Deleted Webhook – Marks the employee as terminated in WFM when their record is deleted in HR.
These updates follow the suite-level field mappings defined in Integration Central.
Bulk sync
WFM also supports full data syncs from HR that can be scheduled or manually triggered. This imports the following Employee Data:
- Current and historical job records
- Personal details
- Qualifications
- Termination dates
Payroll receives all new and updated employee and job data automatically when employee forwarding is enabled during the bulk sync process.
WFM → HR
For organisations with two-way sync enabled, WFM can also push updates into HR. These updates are triggered when records are saved in either the Employee Management or Change Approvals screens in WFM. The fields and rules for export are managed in the WFM → HR mapping setup within Integration Central.

WFM → Payroll
In addition to employee data the following data will be sent on-demand:
- Timesheets – Approved timesheets are uploaded to Payroll on demand.
Payroll → WFM
The following data can be imported from Payroll on-demand:
- Payslips and leave balances – Pulled from Payroll to WFM on a schedule or on-demand.
⚠️ When using the full suite, do not enable “Sync employee details” or “Push employee data to connected HR system” in the Payroll integration. HR is the source of truth for employee data.

Auxiliary Data
Manually Maintain Auxiliary Data for Accuracy
Certain fields must be manually maintained in both Humanforce HR and WFM as they do not automatically sync. These include:
- Pay rates
- Gender
- Title
- Visa type
Regular updates to these fields help maintain consistency and prevent errors in reporting, compliance, and payroll processing.

Location, department, role
Managing LDRs and Secondary Roles
Only the primary job from Humanforce HR syncs to WFM. If an employee has more than one job (e.g. works multiple roles or locations), any non-primary (secondary) roles must be set up and maintained directly in WFM, these are not transferred through the integration.
Likewise, the employee’s Default Location, Department, and Role (LDR) for the primary job should be maintained in HR. If an employee works across multiple LDRs, you’ll need to manage these additional structures in WFM.
⚠️ The integration doesn’t support multi-contract setups (where a single employee holds multiple contracted jobs). If this applies to your business, speak to your Humanforce implementation team about alternative solutions.

Field ownership in the HCM Suite
Some fields can technically be mapped via Integration Central but 🚫 must not be mapped when using the full Humanforce Suite. These fields are owned by HR and should not be overwritten by WFM or Payroll. Mapping them will result in data inconsistency or failed syncs. -
