Follow this guide to enable Employee Data Forwarding in your Humanforce HCM Suite. Once configured, employee changes will flow automatically from Humanforce HR → WFM → Payroll, improving data consistency and reducing manual effort.
Prerequisites
Before you begin, ensure the following are completed:
- Core setup of Humanforce HR and Humanforce WFM is complete.
- Necessary custom fields have been created in Humanforce HR. Learn about creating custom fields in HR.
- Auxiliary data (e.g., pay companies, employment types, award profiles, locations, departments, roles, access levels, clock-in settings) is configured in Humanforce WFM.
- HR needs to be configured to support Remuneration schedules.
- Shared data fields (e.g., pay rates, gender, title, visa types) have been reviewed and aligned between systems.
- Note that the "No Pay Grade" should be added to WFM if used in HR.
- Employee records exist in Humanforce HR.
- Timezones must match between HR and WFM. Set the Humanforce HR Tenant Timezone in WFM (Admin > Admin Config > System Settings) to avoid date mismatches during sync. If there're multiple operational timezones then select the east-most timezone for the above setting (e.g. if a customer has offices in Perth and Sydney in Australia and Auckland in New Zealand, then you will pick the Auckland timezone).
Part 1: Set up the HR → WFM integration
- Go to Management > Advanced > Integration Central in WFM
- Select the Humanforce HR integration
- Follow the standard setup instructions in the HR → WFM setup guide
- Part 1: Generate API credentials in Humanforce HR
- Part 2: Connect Humanforce HR to WFM
- Part 3: Auxiliary data mapping
-
Part 4: Configure employee details
- Use the Suite field mapping guide (do not use the default HR → WFM mapping)
- Toggle on: Push employee data to connected Payroll system.
This toggle is now available by default and can be found under Configure > Employee Details in the HR integration.
- Part 5: Configure sync settings
- Part 6: Run integration and validate initial sync
- Ensure the feature flag required for employee rates and role revision sync is enabled (with the help of Humanforce support) if required for the customer.
Employee records created or updated in HR are visible in WFM with correct job and qualification data.
Part 2: Set up the WFM → Payroll integration
- Go to Management > Advanced > Integration Central in WFM
- Select the Humanforce Payroll integration
- Follow the standard setup instructions in the WFM → Payroll setup guide
- Use the Suite field mapping guide (do not use the default WFM → Payroll mapping)
-
Do not enable:
- “Sync employee details”
- “Push employee data to connected HR system”
Timesheet and operational data flows from WFM to Payroll without overwriting HR-sourced employee records.
Part 3: Enable Employee Data Forwarding
- Go to Management > Advanced > Integration Central
