When integrated with Humanforce Workforce Management (WFM), Humanforce Payroll delivers seamless, automated data flows across your organisation. Designed for HR leaders, operational teams, and payroll specialists, this integration connects your workforce management and payroll processes to improve accuracy, efficiency, and compliance.

Capabilities
Synchronise auxiliary and employee data
This integration allows key data to flow between Humanforce Payroll and WFM to support accurate, timely workforce management. This reduces administrative effort, improves data quality, and strengthens compliance.
As part of the setup, auxiliary data lists can be transferred from Payroll into WFM, including public holidays, organisational structures, pay rates, and pay types, so both systems stay aligned. These values are then used across rostering, timesheets, and payroll export.
Employee details can be synchronised between systems. When you create employees in WFM (for example, through WFM Onboarding), new employee records are created in Payroll. When Payroll is configured as the source of truth, new employees and updates can import to WFM via scheduled or manual bulk sync. Matching prioritises existing employees (by Payroll Code or Employee Number) before creating new records.
Export award-interpreted timesheets and cost centres to Payroll
Once timesheets are clocked, authorised, and processed against the employee’s assigned award profile in WFM, award-interpreted data, including worked hours, leave taken, and any configured override rates, is exported directly to Humanforce Payroll for pay processing.
You can also configure cost centre mapping (CCM) in WFM so that exported timesheets allocate to the correct cost centres in Payroll. Combine multiple sources (for example, Location ExportCode and Role Name), define separators to match Payroll, and set default values when a mapping cannot be resolved.
Sync leave balances and payslips back to WFM
After payroll finalisation, leave balances and payslips are updated in Payroll and can be synced to WFM. Leave balance conversion is supported for Australia (weeks ↔ hours for Long Service Leave) and New Zealand (weeks ↔ days) based on configured settings and employee values.

Extend the integration with the HCM Suite
For customers using Humanforce HR, WFM, and Payroll and where HR is the employee data source of truth, the integration can be extended further using the Employee Data Forwarding feature.
This configuration enables HR-driven employee updates to automatically flow through WFM into Payroll, creating a unified, automated data pathway across your entire HCM suite. It eliminates the need for duplicate data entry and ensures that employee records remain consistent, accurate, and compliant across all connected systems.

Eligible customers
This integration is available to Humanforce WFM Cloud customers and supports a variety of scenarios:
- New customers implementing both Humanforce WFM and Payroll.
- Existing WFM customers adopting Humanforce Payroll.
- Customers transitioning from flat-file workflows or custom integrations to native API integration.
Data ownership
- Auxiliary data (e.g. locations, departments, roles, public holidays) can be synced from Payroll to WFM to maintain alignment.
- Pay types and rates are maintained in Payroll and can be synced to WFM.
- Employee details can be sourced from either WFM or Payroll, defined during implementation. When onboarding in WFM, Humanforce recommends setting WFM as the source of truth.
- Leave rules, leave balances, and payslips are maintained in Payroll and imported to WFM after payroll finalisation.
