In this article, we'll step you through what shift errors and warnings look like in Roster Manager, and how to resolve them via the shift tiles and/or Alerts panel.
For your roster to identify shift errors and warnings, Alerts must be created within
Clock in Settings. See Setting up Alerts.
Summary
To help you easily identify any shifts that have an error or a warning:
- the shift tile will have a background colour, and
- a notification will be created within the Alert panel for you.
Designed for working quickly, simply double-click a shift tile or notification in the Alert panel to go straight to the relevant shift details, and update the shift as needed.
Shift Errors
If a shift has an error within it, the shift tile will have a red background colour.
Hover over the red error icon to see the title of the error.
For more information, double-click the shift tile to open the shift details window to see more details about any errors contained within the shift.
An error is something that needs to be fixed. Shifts with errors can't be published or made read-only.
Shift Warnings
If a shift has a warning within it, the shift tile will have a yellow background colour.
Hover over the yellow warning icon to see the title of the warning.
If you need more information, open the shift and at the top of the shift details window there will be more details about any warnings contained within the shift.
A warning is something that should be reviewed. It won't prevent any further actions from being done.
Alerts Panel
A notification is created within the alert panel, making it easy for you to review shift details and update them if required. Simply double-click any notification in the Alerts panel to go straight to the relevant shift details, and update the shift as needed.
View Alerts
A red dot over the icon indicates you have notifications.
To view your notifications, click on the alert icon to see a list of all notifications.
There is a filter at the top that by default is set to All notifications, and on the right-hand side you will see a count of how many notifications you have. You can filter the list down by clicking on the filter and then choosing the required warning type.
Each notification will have a collapsed view showing a summary of the issue. If you need more details, click on the > to expand the view.
- If the issue is specific to a single shift only, when expanding the notification you will see more details about the shift in question
- If the issue involves more than 1 shift, such as overlapping shifts, when expanding the notification you will see information about all of the shifts that are involved. There is also a hyperlink allowing fast access to review the shift details
- If there is no dot, there are no notifications
Note: if you have any filters applied to your roster, only notifications for
shifts included within your selected filters are displayed. If you are looking
for a specific notification you may need to reset your roster filters.
Setting up Alerts
For shift validations to occur, you must have Alerts created within Clock in Settings
You need to create (or edit if updates required) an alert and ensure the active box is ticked for roster manager to indicate on shifts if something hasn't met the requirements defined.
- Go to Admin > System config > Clock in Settings
- Locate the Clock in Setting that you have set within your employees Employment profile, then select Edit
- Click on the Alerts tab
- Click on Add new record (if needing to update an existing setting, click on Edit)
- Tick the Active box
- Enter a Name
- Select the Warning type you would like to configure
- Depending on the warning type selected, you may see some further options that you need to define.
- Click on Update
Note: The custom message field is not used within roster manager. This is to ensure we can provide all of the specific shift details within the notification for you to determine what or if any action is required.
