Follow this guide to prepare, communicate, and complete your organisation’s transition from the Humanforce (Legacy) app to Humanforce Work.
These steps will help you plan your rollout, inform your teams, and ensure a smooth cutover to the new app.
For a summary of what’s changing, see Transition Guide: Humanforce (Legacy) to Humanforce Work mobile app.
Part 1: Prepare for your transition
- Review your transition notice.
Humanforce will notify your organisation when your 90-day transition window begins. The message confirms your transition date and includes helpful resources. - Read the Transition guide.
Review the guide to understand key changes, new features, and what to expect during the migration. - Download Humanforce Work.
Use the appropriate link for your device: - Log in using your current details.
Employees use their existing Humanforce username and password. No credential updates are required. - Encourage employees to start early.
Employees can use both apps during the transition period. Early use helps identify questions before the official cutover.
Your organisation is ready for the next phase once employees have downloaded the app, logged in successfully, and are familiar with the transition timeline.
Part 2: Communicate with your teams
- Share the welcome email.
New mobile users automatically receive an email with instructions to download Humanforce Work. Resend or forward this message to encourage engagement. - Advise employees about in-app prompts.
Users of the Legacy app will see a message prompting them to download Humanforce Work. The popup includes direct download links. - Share support resources.
Provide your teams with quick access to key help articles: - Reinforce Humanforce communications.
Humanforce will send targeted reminders and release notes to help users switch before the cutover date.
Your teams are ready for the final phase once employees know when and how to access the new app and understand what will happen during cutover.
Part 3: Complete your transition
- Review your cutover notice.
Humanforce will confirm your organisation’s cutover date. Access to Humanforce (Legacy) will be blocked once the transition is complete. - Brief employees on what to expect.
After cutover, users who log into the Legacy app will see a message directing them to download or open Humanforce Work.- Employees with multiple employers may still access Legacy for other employers who have not yet transitioned.
- Remind employees of key points.
- All actions such as managing timesheets, shifts, and leave must now be completed in Humanforce Work.
- Messaging history will not transfer between apps.
- Notifications must be enabled in the Work app to receive updates.
- Confirm transition completion.
Ask all employees to log in and confirm access to their shifts, leave, and payslips in Humanforce Work. Once verified, the Legacy app can be uninstalled.
Your organisation’s transition is complete when all employees are using Humanforce Work for daily workforce management.
