The Alert Send-Groups are a collection of users that receive a specific alert for an employee. These generally contain the managers of the staff so that they are notified of the event that has taken place in the system. For example; an employee has requested leave or qualification is about to expire.
Alert Send-Groups
- Select the Admin section from the top navigation menu.
- Select Alerts Send-Groups under the System Configuration section.
Creating a new Send-Group
- Click the Add New button on the top right of the screen.
Once the screen opens a new screen will open and you will be able to edit the following details for the group:
a) Group Name – Name of the Group.
b) Description – Brief description of who is in this Send-Group.
c) Send Alert Tickbox – This will need to be enabled so that alerts are sent to the employees selected in the filters of the next tabs.
d) Email To – Free type field where extra email addresses can be added that are not against an employee in TimeTarget.
e) Email CC – Free type field where extra email addresses can be added that are not against an employee in TimeTarget.
f) Email BCC – Free type field where extra email addresses can be added that are not against an employee in TimeTarget.
g) SMS to – not currently configurable in Humanforce.
After editing the group details, use the three tabs Locations / Departments / Roles, Access Level / Employee Type and Pay Company / Profile to filter the list of employees in the Employees Tab. You will be able to use the Ctrl + Left Click function to select multiple options in all of these tabs.
There is the ability to select the employees manually within the Employees tab, however, when employees are selected here the list will be static and any new employees that need to be a part of this group will need to be manually added. This is not recommended.
If the filters in the previous three tabs are used, the list of employees will be dynamic meaning if any other employee matches the filtering criteria they will be added automatically to this Send-Group. You will be able to tell if the list is dynamic if the Select All button is highlighted Orange.
(Note: Orange highlighted options mean they are selected)
After the relevant filters have been selected, review the employees list in the Employees Tab and click Save.
Red Arrow: You will be able to tell if the list is dynamic if the Select All button is highlighted Orange
