If your organisation is using the Demand Planning functionality you will be able to improve your rostering efficiency by aligning your staffing to requirements generated from the key demand factor of your business.
In the background, your system administrator will have configured rules to convert your demand factor into a number of required staff and will load the demand factor figures into the system for each day.
Examples of demand factors that may be used to determine required staffing in your business may be the number of guests/customers/residents, expected sales, bookings or any number of other factors.
Demand Planning can be accessed on the Gantt View of the employee roster. More information on the Gantt View can be found in our employee rostering guide.
Once you have entered the Gantt View a Demand Planning line will be displayed as long as demand input data has been loaded for that day.
The coloured circles provide the demand planning status for that hour.

The number of staff rostered does not meet the demand requirements or the minimum/maximum headcount restrictions. | |
There are more staff rostered than needed to meet the demand requirements. | |
There is capacity to handle additional demand without needing to roster more staff. |
Hovering over any circle will show more detail regarding the status. With no filters applied you may see demand status for multiple locations, departments or roles listed in the detail.
Clicking the underlined text will filter the roster to the relevant shifts and employees for that demand rule and allow you to see the detailed information for that rule. Clicking the button will collapse this section to display only the status icons.
The following information is shown in this detailed view:
Field | Explanation |
Headcount | The number of staff currently rostered for that timeslot. |
Qualifications | Count of staff rostered with a particular qualification. May display none or many depending on the demand rule configuration (shown as First Aid in the example above). |
Demand Input | The external demand factor the staffing requirements are calculated based on. This will be labelled within the demand rule to reflect the relevant factor for your organisation (shown as Children in the example above). |
Required Staffing | The number of staff that need to be rostered within that timeslot to meet the demand requirements. |
Staffing +/- | The difference (over or under) between the current headcount and the required staffing number. |
Capacity +/- | The shortfall or excess capacity available based on the current headcount. A negative number shows the demand requirement you will be unable to meet without adding staff while a positive number shows the extra demand that can be handled. |
Hovering over the icon on the demand planning panel will display the formula used to calculate the required staffing based on the demand input.
As you update the roster the demand planner information will refresh to reflect your changes.
By default, the headcount numbers used by the demand planning only include shifts on the roster that have been assigned to employees. Clicking the button on the unassigned shifts section will move it above the demand planning section and include unassigned shifts within the headcount and demand calculation.
