Follow this guide to create a roster template and generate a live roster from it in Template Manager. Templates help you forecast labour requirements, standardise recurring rosters, and reduce the time spent building them from scratch.
Part 1: Create a new template
- Go to Management > Rostering > Template Manager.
- Click Create Template.
- Enter a Name and optional Description.
- (Optional) Tick Is Active if the template should be available to import into rosters immediately.
- (Optional) Tick Is Master to create a master template.
- A Master Template defines employees’ standard work pattern and can only include one Location and Department combination.
- Only one master template is allowed per Location/Department combination.
- Select an Effective date and enter a Length between 1 and 60 days.
- Click Create.
The template opens in the roster role view, ready for you to begin adding shifts.
Part 2: Update template details
- Go to Management > Rostering > Template Manager.
- Click the kebab menu
next to the template.
- Select
Edit.
- In the top-right corner, click Edit Template Details.
- Update the fields as needed.
- Changing the Effective date moves all shifts forward or back relative to the new start day.
For example, if shifts run Monday to Friday (Days 1–5) and the start date changes to Wednesday, the shifts move to Wednesday to Sunday.
- Changing the Effective date moves all shifts forward or back relative to the new start day.
- Click Save.
A success message confirms the updates: Template edited successfully!
Part 3: Duplicate a template
- Go to Management > Rostering > Template Manager.
- Click the kebab menu
next to the template.
- Select
Duplicate.
- Review the fields:
- Name: Defaults to original plus “(copy)”. You can rename it.
- Description: Optional.
- Is Active: Tick to make it available for import.
- Is Master: Tick to define this as a master template for one Location and Department combination.
- Length and Start day: Carried over and cannot be changed during duplication.
- Locations and Departments: Automatically listed based on the shifts included.
- Click Duplicate.
The copied template appears in the list and can be edited if required.
Part 4: Generate a roster from a template
This feature enables you to create rosters for multiple weeks in a single action. It can also be used to roll forward an existing roster across several weeks, up to a maximum of 52 weeks.
- Go to Management > Rostering > Template Manager.
- Locate a template with a length that is a multiple of 7 (e.g. 7, 14, 28).
- Click the kebab menu
and select + Generate.
- You must have the Generate roster from template permission.
- You must have access to all Locations and Departments included in the template.
- Set the Number of weeks and Start date.
- Select the Template Generation Behaviour to either
- Generate shifts as per the template - without any regard for the template's start (effective) date, or
- Generate shifts by considering which week or rotation the selected date aligns with if the template had been continuously generated from its start (effective) date.
- Click Proceed.
- Review the warning and click Proceed again.
Shifts are generated in Roster Manager. Any shifts already existing in the same Location/Department combinations and date range are replaced.
Access level permissions may restrict who can generate rosters from a template. Check with your system administrator if options are unavailable. Permissions > Rostering Screen > Allow editing > Templates > Generate roster from template
Part 5: Delete a template
- Go to Management > Rostering > Template Manager.
- Click the kebab menu
next to the relevant template.
- Select
Delete, then confirm the action.
The template is permanently deleted.
